Staging & Concierge Project Coordinator - Hands-On Operations

This is a hands-on staging and operations position, not a primarily desk-based project coordinator role. The person in this role will regularly work inside homes and our staging barn, load and unload staging inventory, move furniture and décor, pack and unpack items, organize inventory, participate in staging and destaging properties, run errands, and assist wherever needed to complete staging projects. Administrative and project coordination responsibilities are also an important part of the role.

The Staging & Concierge Project Coordinator supports the successful execution of all staging and concierge projects by coordinating logistics, preparing client deliverables, managing inventory and project documentation, assisting with staging installations, and ensuring projects remain organized from initial consultation through listing readiness.

This position serves as a key operational partner to the Staging & Concierge Manager and works closely with the Listing Manager, Director of Operations, agents, vendors, and staging interns to deliver an exceptional client experience.

Key Responsibilities

Staging Support

• Attend home assessments and staging consultations.
• Take measurements, photographs, and detailed notes.
• Upload documentation (photos, measurements, room-by-room checklists)
• Assist in preparing staging recommendations and reports.
• Help prepare inventory lists for upcoming stagings.
• Actively participate in all aspects of staging and destaging properties, including packing, loading, unloading, carrying, placing, rearranging, and removing furniture, décor, artwork, rugs, lamps, accessories, and other staging inventory.
• Conduct occupied home refreshes and staging touch-ups when needed.

Inventory Management

• Assist with maintaining the staging inventory system.
• Scan inventory into and out of properties using the company inventory software.
• Ensure inventory is returned and accounted for following destaging.
• Perform regular hands-on warehouse work, including moving inventory, shelving and organizing décor, receiving deliveries, labeling and photographing inventory, unpacking returned inventory, and keeping the warehouse clean and organized.
• Maintain staging supplies, lockboxes, signage, and accessories.

Physical & Work Environment Requirements 

This is an active, physical position. Team members may spend significant portions of the workday standing, walking, bending, reaching, lifting, carrying, packing/unpacking, climbing stairs, and moving staging inventory. 

Must be comfortable lifting and carrying items weighing up to 50 pounds, including while staging/destaging homes and working in the barn. Work takes place in occupied and vacant homes, the staging warehouse, vehicles, and occasionally outdoors.

Documentation & Reporting

• Prepare and proofread staging reports.
• Upload and organize property photos.
• Maintain project files and spreadsheets.
• Update internal documentation and playbooks.
• Ensure reports are completed accurately and on time.

Project Coordination

• Assist with staging and concierge projects from consultation through completion.
• Maintain project timelines and ensure tasks are completed on schedule.
• Coordinate contractors, deliveries, vendors, and project logistics.
• Provide on-site support.
• Check concierge progress and final walkthrough of property after concierge work is complete to verify work.
• Attend listing, staging, and team meetings as needed.

Team Support

• Assist with training and supporting staging interns.
• Answer questions and provide guidance during staging days.
• Help coordinate staging crews and daily priorities.
• Support staging operations during the absence of the Staging & Concierge Manager.

General Operations

• Run business-related errands as needed.
• Assist with purchasing staging inventory and supplies.
• Help maintain staging vehicles and equipment.
• Assist with proper signage, toppers, and lockboxes for properties associated with staging. (Keep inventory of these and communicate for things needed).
• Be willing to jump in wherever needed to complete staging and concierge projects, including physical, administrative, warehouse, property, and errand-related tasks.

Marketing Support (Secondary Responsibilities)

• Capture before-and-after photos and videos.
• Assist with creating content for Facebook, Instagram, YouTube, and TikTok.
• Collaborate with the Listing Manager on marketing materials.
• Assist with staging portfolio development and promotional materials.

What This Role Looks Like Day to Day

No two days are the same. A typical week may include staging or destaging multiple homes; loading, unloading, and moving staging inventory; organizing the staging barn; attending a home consultation and taking measurements and photos; preparing a staging report; checking progress at a concierge property; coordinating with vendors; picking up supplies; scanning inventory in and out; and completing project documentation.

Qualifications

• High school diploma (associate's or bachelor's degree preferred)

• Valid driver's license with reliable transportation
