Learn more about the benefits of working at UC Brief Summary Of Job Duties Under the direction of the MCDB Building and Resource Manager, the Sr. Storekeeper is independently responsible for the operations of the Biology (EEMB/MCDB) purchasing, shipping and receiving, Storeroom, and building key management. This involves procurement of supplies, both tangible and nontangible, and equipment for the department of Molecular, Cellular & Developmental Biology (MCDB) and the department of Ecology, Evolution & Marine Biology (EEMB) faculty, staff, and researchers for the purpose of conducting undergraduate and graduate teaching laboratories, and for conducting university supported or extramural funded research projects. Duties include supervision of the receiving area and ensuring appropriate Flexcard use that follows campus procurement policies and procedures. Duties include Gateway purchasing management, implementing and reviewing vendor agreements and vendor blankets, providing new‑user procurement training, and preparing sole‑source justifications. Exercises a very high level of initiative and good judgment in analyzing financial and purchasing data. Performs independent research to make sound decisions in regard to pricing, vendor, and item substitutions while remaining in compliance with federal contracts and UC Policy. Responsible for the oversight of issuing keys for the MCDB and EEMB departments. Responsible for fiscal management of purchasing, storeroom, and equipment management operations, as well as inventory control and recharge processing for dry ice, liquid nitrogen, FedEx, and storeroom supplies, requiring proficiency with the FBS recharge system and Procurement Gateway. Responsible for the supervision of multiple student assistants. Supports and backs up the Building and Resources Manager in the day‑to‑day operations of Biology‑controlled spaces. Required Qualifications Bachelor’s degree in related area and/or equivalent experience/training 1-3 years’ experience in general procurement of supplies and equipment in a biological field 1-3 years’ experience comparing purchase orders and/or invoices to sales materials in order to resolve pricing issues 1-3 years’ experience providing quality customer service 1-3 years’ experience researching problems of a financial nature 1-3 years’ experience supervising staff and/or students Possess excellent customer service and customer relation skills Analytical skills necessary to evaluate the quality and cost‑effectiveness of multiple and complex purchasing options Effective verbal and written communications used in customer service and analysis in a diverse client and support environment Ability to effectively communicate with a diverse group of people Possess a basic background in biological sciences, such as lower‑level college laboratory science; familiarity with biology, i.e., biochemistry, molecular biology, ecology, botany, zoology is needed Familiarity with refrigerators and -80 freezers for storing biological samples and following shipping and receiving instructions is required Ability to interpret and explain terms and conditions of contracts General understanding of granting agency regulations, and competency and resourcefulness in obtaining product information and other relevant data are essential to making effective purchasing decisions Knowledge of University purchasing procedures, FlexCard management, contracts, vendor blankets, and equipment management Understanding of inventory control techniques Preferred Qualifications 1-3 years knowledge of UC Policy and Procedures governing procurement Special Conditions Of Employment Satisfactory criminal history background check UCSB is a Tobacco‑Free environment Misconduct Disclosure Requirement As a condition of employment, the final candidate who accepts an offer of employment will be required to disclose if they have been subject to any final administrative or judicial decisions within the last seven years determining that they committed any misconduct; or have filed an appeal of a finding of substantiated misconduct with a previous employer. “Misconduct” Means Any Violation Of The Policies Governing Employee Conduct At The Applicant’s Previous Place Of Employment, Including, But Not Limited To, Violations Of Policies Prohibiting Sexual Harassment, Sexual Assault Or Other Forms Of Harassment, Or Discrimination, As Defined By The Employer. Job Functions And Percentages Of Time 40% Procurement – Responsible for the ordering, timely notification, and disbursement of all equipment and supplies for both the MCDB and EEMB departments. Acts as liaison between scientific personnel, UCSB Procurement Services, and suppliers to assure adherence to established procurement policies and to develop the most effective procedures. Researches and finds information on state‑of‑the‑art materials and supplies, instrumentation, equipment for departmental research personnel, and suggests material substitutes and alternative sources. Serves as the point of contact for prospective vendors and coordinates approved technical presentations and demonstrations requested by potential suppliers, held in the department. MCDB/EEMB has one of the largest volumes of purchase orders among all campus academic departments. The Sr. Storekeeper handles and coordinates purchase orders, including all requisitions for equipment, biological research supplies, laboratory course supplies, including quarterly book orders for instruction, contacting publishing companies for desk copies, water distribution to the MCDB department and labs, and other orders as necessary. For each of these orders, the Sr. Storekeeper assists faculty, staff, and researchers with all aspects of procurement. Locates and selects an appropriate vendor. Ensures appropriate price quotes are received, and contacts the vendor to get delivery information. Negotiates a price if the material is not covered by a University purchase agreement. In the event of major equipment purchases, the Sr. Storekeeper assists in preparing specification lists for equipment to be put out to bid, drafting sole‑source justification letters as appropriate, and following up on requisitions and vendors to coordinate delivery schedules. Must have knowledge of shipping methods and practices for highly perishable scientific material on a nationwide and global basis, and knowledge of shipping companies and their rates. Maintains all required shipping and receiving documents and organizes shredding services for MCDB / EEMB. Is also a Flexcard holder and allocator for both departments, MCDB / EEMB. 20% Shipping & Receiving – Responsible for receiving, storing, and disbursing all deliveries to the department. Inspects items received, compares purchase documents and packing slips, and records them. In cases of damage or discrepancies, is responsible for notifying the vendor and resolving the issue. Responsible for packaging and shipping of more than 1,500 shipments annually to research and/or educational institutions and vendors. Shipments include highly perishable biochemicals, living material, pathogenic material (both human and animal), as well as manuscripts and delicate research equipment. Requires a high level of expertise in shipping methods, regulations, and policies on a national and worldwide basis. Works the front counter to distribute goods to research labs, working with staff, students, faculty, and researchers. 20% Materials Management: Stockroom/ Recharges/ Equipment Management – Responsible for the staffing and operations of the Biology stockroom and equipment inventory. Manages the stockroom and a recharge operation that currently serves approximately 200 clients within the department and across campus. The inventory consists of scientific glassware, laboratory supplies, and machining components. Trains and supervises student staff to order and receive inventory items as directed. Assist customers with recharge purchases. Responsible for the integrity of the recharge database, reconciling discrepancies in reports with physical inventories, purchase orders, and accounting. Tracks and is responsible for the recharge Google forms and tracks all data for dry ice, liquid nitrogen, FedEx, and all stockroom supplies. Works closely with the department’s financial unit in preparation of monthly recharge reports. Assists the Building and Resources Manager with the departmental equipment inventory database of all MCDB equipment and fabrications. Identifies, tags, and records all new equipment. Processes required inventory modification forms (EIMR, ESPD) online for equipment loan and disposal. Performs periodic and annual campus mandated equipment audits. 10% Accounting & Record Management – Fiscal responsibilities include extensive oversight of purchasing, Flexcard management, shipping arrangements, equipment inventory, and storeroom recharge operations. Must be proficient in Excel and other financial record‑keeping systems in order to process daily accounting of purchasing and stockroom transactions. Verifies funding availability and obtains appropriate agency, department, and campus approvals. Responsible for documenting accurate count, location, ownership, and value of inventory items. Processes FlexCard orders and allocates FlexCard charges on a weekly basis. Maintains a complete computerized record of all FlexCard orders. 5% Building Access & Safety – Manages key and door‑code access, request and cancellation processes, key system auditing, and the implementation of building access policies. Manages online facilities safety training (office, lab, visitor, etc.) in accordance with departmental policy and campus‑wide EH&S practices. Programs and manages keyless access systems. Updates information and Google forms on the Departmental Building Access and Safety webpages. Issues keys for approximately 300 offices and work areas in the department. Verifies authorization, maintains key records, works with the campus lock shop, coordinating lock changes, and orders appropriate quantities of keys. Manages the department’s dry ice storage, maintaining appropriate levels at all times to meet the department’s research and instructional needs. 5% Supervision and Other Duties – Responsible for recruiting, hiring, training, and supervising multiple student assistants. Supports and backs up the Building and Resources Manager with the day‑to‑day operations of Biology‑controlled spaces. May be asked to work after hours for late shipments or emergencies.
