The Medical Receptionist plays a vital role in ensuring smooth daily operations at the medical office by managing patient interactions, scheduling appointments, and maintaining accurate records. Reporting to the Office Manager, this position handles a medium volume of 20-50 patient interactions per day while supporting administrative workflow including preparation and organization of patient visit records and ensuring superbills are ready for billing submission. The role requires proficiency with Electronic Health Record (EHR) systems and strong multitasking and organizational skills.

Responsibilities

• Schedule and confirm patient appointments using EHR and scheduling software
• Answer and return phone calls and messages promptly
• Prepare patient records daily for upcoming visits
• Organize and file patient documents after visits to support billing process
• Send and receive faxes related to patient care and office administration
• Maintain inventory of medical and office supplies
• Assist with data entry and updating patient information
• Communicate effectively with patients and healthcare team members

Preferred Qualifications

• 1+ years of experience in medical reception
• High school diploma or equivalent
• Knowledge of medical terminology
• Familiarity with appointment scheduling software and Electronic Health Record (EHR) systems
• Strong data entry and multitasking abilities
• Excellent customer service and communication skills
• Organizational skills to manage records and office supplies
