The ALTSD Human Resources Bureau is an administrative unit that handles recruitment, classification and compensation, labor relations and benefits. The Department has employees that provide services throughout the State of New Mexico. Why does the job exist?

The purpose of this position is to provide administrative support for all Human Resources Personnel functions to include supporting the day-to-day operations of the HR office and providing in-office assistance to Aging and Long-Term Services Department (ALTSD) employees on HR related questions, at the direction of the HR Deputy Director. The Associate HR Generalist is responsible for maintaining the personnel/position records while complying with ALTSD policies and procedures. Serve as HR Records Liaison while ensuring compliance with Records & Archiving retention schedule. Assist with the recruitment and hiring processes to include completion of postings, certifying lists, appropriate placements, and completing hiring transactions. Generate reports. Maintain and track spreadsheets for HR actions. Distribute New Hire Swag Bags. Completes assigned tasks, duties and assignments per the direction of HR Deputy Director.


How does it get done?

Management and Maintenance of personnel and position records while ensuring accuracy and compliance with policies and procedures while adhering to Records and Archiving Retention Schedule. Serve as Records Liaison and manage the processing of all HR records and documents that meet the Retention schedule to ensure compliance with the Records & Archive Retention Schedule.


Tracking and entering of all HR actions into HR Spreadsheets to include trainings, new hires, terminations, evaluations, Updating Staff Directory, completion of new hire postings on Linkedin account. Assist with completion of reports. Administering of New Hire Swag Bags ensuring all new hires.

HR Administrative Support: Assist with the recruitment and hiring processes to include completion of postings, certifying lists, appropriate placement, processing of background checks, and creating and maintaining new personnel files. Assist with payroll processes to include verification of payroll register report to ensure all deductions and overtime was completed and processed accurately for all employees with 100% accuracy. Notifying Sr. HR Generalist of any discrepancies.


Completion of file reviews for all new hires as well as file review requests requested from other agencies. Maintenance of File Review spreadsheet. File reviews are to be complete within 24 hours of request. All File review requests are to be saved in the File Review Request folder for all outside agency requests and in the personnel actions in the position folder for all new hires. Process and Complete background checks for agency within 24 hours of receipt.


Who are the customers?

Associate HR Generalist will provide support to HR personnel as well as ALTSD employees and management.


Ideal Candidate

Ideal Candidate will have knowledge and experience in Human Resources and Administrative functions to include providing administrative and technical support to Human Resources personnel as well as assistance to staff and management for all Human Resources related processes, payroll, hiring/termination transactions and agency policies and procedures. Provide day to day admin support to include but no limited to generating memorandums and correspondences, management of excel spreadsheets, generating reports, maintaining and managing personnel and position files, completing transactions in SHARE for HR actions. Organization and time management skills are an essential aspect of this position.


Minimum Qualification

Associate degree in any field. Any combination of education from an accredited college or university and/or direct experience in this occupation totaling two (2) years may substitute for the required education.


Employment Requirements

Must possess a valid New Mexico driver's license. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within 90 days of employment.
Statewide travel might be required.


Working Conditions

Work is performed in an office setting with extensive computer and telephone use. Must be able to lift 25 lbs.
