Accounts Payable Assistant

The Accounts Payable Assistant supports the Accounting Team at Real Property Management by ensuring the accurate, timely, and efficient processing of vendor bills, utility payments, property taxes, and HOA assessments. This role plays a critical part in maintaining the financial integrity of RPM operations by proactively managing payment workflows, monitoring outstanding obligations, and leveraging online payment methods to minimize the risk of late fees and processing delays. The Accounts Payable Assistant serves as a reliable point of coordination for billing inquiries and contributes to a responsive, well-organized accounting function.Your Responsibilities as an Accounting Assistant:Process office utility bills for RPM operations, ensuring timely and accurate payment.Manage end-of-year property tax and HOA assessment billing, including proactively contacting HOAs to obtain bills not received by the expected due date.Monitor Accounting Team communication channels to assist with processing refunds and fulfill all service requests submitted by the Operational teams.Track recurring bills recorded in AppFolio, prioritizing online payment methods over mailed paper checks to prevent late fees and ensure timely processing.Review the Aged Payable report on a regular basis to ensure outstanding balances remain current and no items are overlooked.Investigate uncleared checks by contacting the applicable vendor to determine the cause and coordinate reissuance of payment as needed.Process over-the-phone payments for selected Utility companies as required.Support the property termination process by coordinating with utility companies to expedite the receipt of final utility bills.Collaborate with Pod LeadServe as a backup for general accounting in-office.Support the A/R team on special projects.Perform other duties as assignedTo Be Successful in this RoleYou view every interaction as an opportunity to grow relationships.You’re willing to learn everything you can about property management and the full process of how we do it at Real Property Management.You enjoy leading a team, solving problems, and helping an organization become great.Job Requirements for the Accounting Assistant Position:1 years of accounting experience preferredAppfolio experience is a plus.Knowledge of industry standards and practices.Experience with excel, email, and other software’s preferred.Excellent attention to detail and strong organizational skills.Exceptional collaboration skills and a passion for problem solving.Bilingual in PreferredBenefits & PayCompensation for the Accounts Payable Assistant position is a base pay of $19.00 - $21.00 per hour based on skills and experience [plus a quarterly incentive structure based on collaborative Key Performance Indicators for the company]Company’s benefits summary for additional information and eligibility dates.
