The ideal candidate is a critical thinker who can anticipate needs, adapt quickly, and remain composed in a dynamic environment.Key ResponsibilitiesProvide high-level operational and administrative support to senior leaders, managers, and cross-functional teamsCoordinate day-to-day operational activities, ensuring deadlines, deliverables, and priorities are metPrepare and manage business documents, reports, presentations, meeting materials, and client-facing communicationsSupport project coordination efforts involving multiple stakeholders, timelines, and shifting prioritiesAssist with workforce coordination, scheduling, onboarding support, and documentation managementTrack operational processes and help improve workflow efficiencyManage complex assignments with a high degree of accuracy, urgency, and follow-throughCommunicate effectively with internal teams, leadership, clients, and external partnersAnticipate needs, identify issues proactively, and recommend practical solutionsSupport business needs outside of standard working hours on occasion, as requiredTravel up to 40% based on business and project demandsRequirementsRequired Qualifications4+ years of experience in operations coordination, administrative support, workforce management, project coordination, or a related business support roleProven experience supporting senior leaders, managers, or operational teams in a fast-paced environmentStrong experience preparing business documents, reports, presentations, meeting materials, and professional communicationsDemonstrated ability to handle complex projects with multiple moving partsStrong technical aptitude and comfort learning and using business systems, tools, and platformsHighly proactive with the ability to anticipate needs and take initiativeStrong critical thinking and problem-solving skillsExcellent organizational skills with strong attention to detailCoachable, adaptable, and open to feedbackAbility to manage changing priorities and perform effectively in a fast-paced environmentWillingness and ability to travel up to 40%Flexibility to be available occasionally outside of normal business hoursPreferred QualificationsExperience supporting employee onboarding, workforce coordination, scheduling, documentation management, or operational processesExperience in construction, industrial services, staffing, workforce solutions, or other project-based environmentsAssociate degree in Business Administration, Operations Management, Human Resources, or a related field preferred; equivalent professional experience will be consideredAdditional coursework or training in business operations, project coordination, administrative management, or workforce management is a plusJob typePerm
