Position Clinical Services Associate (Medical Assistant) Entity: Clinical Care Associates / Penn Primary Care (PPC) and Penn Specialty Practices (PSP) Department: Cape May Cardiology Location: New Jersey Cape May 2 Hours: Per Departmental Needs – Full Time Summary The Clinical Services Associate (CSA) assists the practice manager and physicians in maintaining a patient/customer focus, supports the delivery of high-quality care, shares a passion for patient and customer centered care, and assists in meeting or exceeding patient satisfaction and financial/operational targets. The CSA supports the practice by performing clinical and administrative duties as a Medical Assistant and as a Patient Services Associate. The practice determines, based on operational need, how much time will be spent in each capacity (MA and PSA). Clinical Services Associates have an opportunity to join our organization and make a difference in the lives of our patients. Responsibilities Patient Care Accountabilities Promptly rooms patients, using EMR to alert provider that patient is ready; review past medical, surgical, family, smoking history, allergies, medications; note mandatory corrections; initiate self‑management goal setting; obtain vitals and document in EMR; prepare chart for patient visit; understand insurance restrictions for lab work, referral needs, pre‑certification requirements. Observe patient condition and communicate any abnormal data or changes to provider. Assist patients as needed with walking, transfers, dressing, undressing, preparation for the exam, and remain in exam room when necessary or requested. Specimen management: obtain specimens for testing (including phlebotomy and anterior nares swab collections); perform laboratory and screening tests; record results in EMR; reconcile with logs; report findings to providers; perform quality controls per Point‑of‑Care Testing guidelines; prepare specimens for transport as needed. Perform EKGs and other outpatient screening tests as ordered; document results in EMR. Assist with minor surgical procedures by handing instruments, maintaining sterile field, positioning patient, and other duties within scope of responsibility. Witness procedural consents if required. Respond appropriately to emergency/code situations. Administer prescribed medications, give injections and vaccines, read PPD results, and document in EMR per provider orders and regulatory guidelines. Demonstrate competence in the observation, treatment, and care of patients ranging from neonate to geriatric. Clerical / Other Accountabilities Responsive and proactive telephonic patient care, including care coordination with specialists, ancillary services, hospitals, labs, home‑care agencies, and other health services. Obtain and scan documents (test results, faxes, reports, referrals) as appropriate. Complete medical forms and other clinical requests; prepare and send patient correspondence; assist nursing staff with education materials. Promptly perform call‑backs as directed; provide patients with follow‑up care instructions. Environmental / Safety Accountabilities Adhere to universal body fluid precautions and infection control policies; dispose of infectious waste properly; promote infection control with hand washing. Ensure patient care areas are kept neat, orderly, well‑stocked, and properly prepared. Clean, disinfect, and sterilize instruments and equipment per protocols; notify supervisor of malfunctions; set up equipment as per practice protocol. Clean and restock equipment; access secured areas to obtain intravenous solutions and medication supplies for stocking; retrieve supplies and medications; deliver patient‑specific medications to nurse or provider. Maintain temperature log for refrigerators or room temperature as needed. Maintain a safe environment and protect patients from injury by observing fall risk, confusion, or wandering behaviors. Maintain medication storage closet inventory, check expiration dates, remove outdated items; perform daily code/crash cart checks as assigned. Patient Service Anticipate patient needs, manage service recovery, enlist management assistance as appropriate, and identify opportunities to improve patient experience. Answer phones and handle patient requests; retrieve voicemails; take accurate messages and route through EMR. Schedule patient appointments by determining reason for visit, following schedules and protocols, using appropriate billing areas, communicating changes, and offering alternatives or canceling/rescheduling. Manage check‑in and check‑out activities; collect copays, obtain signatures, update appointment status, and finalize check‑out procedures. Communicate with patients about flow and wait times; keep manager aware of potential issues. Issue referrals and obtain pre‑authorizations as required and per protocol. Financial Maintain up‑to‑date knowledge of insurance requirements related to patient service and billing procedures. Validate patient demographics, insurance, and register new patients in EMR per protocol. Record receipts accurately and participate in end‑of‑day reconciliation. Resolve work queues and front‑end report issues; prioritize recovery of missing charges. Order supplies for the office and generate front‑end process reports as requested. Other / Regulatory Ensure compliance with all applicable federal, state, and local regulatory standards (TJC, DOH, FDA, HIPAA, HCFA, DPW, LCGME, SCGME, etc.). Be flexible and readily adopt new processes and practice‑operation changes. Credentials BLS/CPR, healthcare provider per American Heart Association (required). MA Certification (required within 90 days of hire if position is in PA; must have at time of offer in NJ). Education or Equivalent Experience High School Diploma or GED (required). Completion of an accredited Medical Assistant program (required). OR 2 years of experience as an MA may be considered. OR 1+ year working as a Clinical Support Representative at Penn Medicine may be considered. 2+ years of medical office or customer service experience. Associate’s degree preferred. Salary Range $16.99 – $26.69 per hour. Successful candidates receive a specific rate based on experience and education.
