The executive assistant provides executive-level coordination and support to the Associate Vice Chancellor and Chief Communications and Marketing Officer (AVC & CCMO), as well as administrative and transactional support across a wide range of issues, projects, programs, and matters important to the Communications & Marketing department. Represents Communications and Marketing in a professional manner, exercising sound judgment, tact, and the utmost discretion. Manages calendars, travel arrangements, and itineraries for the AVC & CCMO. Incumbent will process purchase and travel requests, reimbursements, and other routine accounting transactions utilizing online financial systems for the Communications & Marketing department. Assists with planning and execution of special projects as assigned.

The full salary range for the Executive Analyst & Assistant to Associate Vice Chancellor & Chief Communications and Marketing Officer is $74,384.25 - $108,710.47 annually. However, the expected pay scale for this position is up to $90,000 annually. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs. Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to sponsor or take over sponsorship of an employment Visa for staff. As a University employee, you will be required to comply with all applicable University policies and/or collective bargaining agreements, as may be amended from time to time. Federal, state, or local government directives may impose additional requirements.

Educational Requirements

Bachelor's degree in related area and/or equivalent experience/training. - Required

Experience Requirements

4 - 7 years of related experience. - Required

Minimum of 3 years providing executive level administrative support. - Preferred

Minimum Requirements

Knowledge of federal regulations such as FERPA.

Strong service orientation.

Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.

Advising and counseling skills.

Ability to multi-task with demanding timeframes.

Ability to use high-level discretion and maintain a high level of confidentiality.

Strong skills to communicate effectively with all levels of staff, faculty, alumni/donors, students and external constituencies, both verbally and in writing.

Thorough knowledge of common organization-specific and other computer application programs

Exceptional written and oral communication skills. Demonstrated correct usage of English, spelling, grammar, punctuation. Excellent interpersonal skills to work effectively with a wide variety of people from all levels of internal and external organizations.

Advanced skill in using software programs, including Microsoft Word, Excel, PowerPoint, Access, and calendaring software. Knowledge of and experience with Internet search engines for data gathering purposes.

Solid analytical/problem-solving skills.

Preferred Qualifications

Familiarity with the organization's processes, protocols and procedures.

Three (3) years of closely related experience to handle sensitive confidential information, issues and requests generated by campus executives, major donors and others.

Demonstrated, progressively responsible experience providing analytical and high-level administrative support to executive level administrators. Demonstrated ability to analyze/interpret information and determine issues requiring review/input/action.

Knowledge of and experience with advancement and/or higher education.

Key Responsibilities

Serves as executive level support to the Associate Vice Chancellor and Chief Communications and Marketing Officer (AVC & CCMO). Coordinates daily and long-range activities. Maintains complex calendars of appointments, conferences, and travel, coordinating all details including financial transactions. Identifies information needed by the AVC & CCMO, interacts with staff across the organization to gather the information, and resolve problems or identify solutions. Serves as a resource to the AVC & CCMO in assembling, synthesizing, and summarizing issues for background materials. Coordinates preparation of relevant appointment briefing and background materials and ensures the materials are provided in a timely manner for review. Makes informed and necessary decisions for the coordination of meetings, conferences, retreats, and events that involve campus staff. Exercises judgment regarding written or oral requests for the AVC & CCMO's time/consultation. Independently handles issues that do not require direct AVC & CCMO involvement. Performs analysis of complex, confidential and sensitive issues that support the professional objectives and activities of the Communications & Marketing department. Trouble-shoots assignments and performs necessary background work and research to respond to concerns of internal and external clientele. - 30%

Provides office operations and administrative support for Communications & Marketing, including but not limited to meeting and event logistic coordination, creation of presentation materials for slide decks, and preparation and compiling data for monthly status reports. - 25%

Coordinates assignment of projects and action items to Communications and Marketing staff. Establishes and manages system for follow-up on action items and ensures timely completion of the items or extends deadlines for completion as appropriate. Reviews action/information items assigned to staff for appropriate and complete response. - 15%

Serves as the primary transactor for Communications & Marketing, processing ePay, eBuy, web recharges/work orders, iTravel transactions, and creating purchase orders. - 15%

Briefs executives on deadlines and the status of pending issues. - 5%
