Shipping and Receiving Specialist

This role oversees inbound and outbound shipments in a large distribution warehouse, ensuring that FDA-regulated products are accurately received, stored, and shipped in compliance with GMP and SOP standards. You coordinate closely with drivers, manage dock door assignments, and maintain precise inventory records using warehouse management systems and common office software. Quality and attention to detail are prioritized over speed, and you play a key role in safeguarding product integrity throughout the shipping and receiving process.

Responsibilities

• Manage all inbound and outbound shipments, ensuring accurate receiving, staging, and loading of products.
• Verify shipping and receiving documentation, including bills of lading, and confirm that items are delivered to the correct destinations.
• Coordinate with drivers upon arrival, assign dock doors, and communicate loading and unloading instructions clearly and professionally.
• Handle FDA-regulated products with a strong focus on quality, ensuring that all handling and storage meet regulatory and company standards.
• Identify and correct errors in shipping, receiving, and inventory records, maintaining high accuracy in all data entry tasks.
• Follow and help enforce GMP (Good Manufacturing Practices) and SOPs (Standard Operating Procedures) throughout daily operations.
• Use warehouse management systems (WMS), RF scanners, and computer applications to track inventory and process transactions.
• Perform inventory control activities, including counting, reconciling discrepancies, and maintaining up-to-date stock records.
• Operate forklifts and other warehouse equipment safely to move, load, and unload materials as needed.
• Utilize Microsoft Office, Excel, and Google Sheets to record data, generate reports, and communicate shipment and inventory information.
• Maintain clear communication with drivers, internal teams, and leadership regarding shipment status, dock availability, and any issues.
• Lift, move, and position materials weighing up to 50 lbs. as part of regular warehouse operations.
• Adhere to all safety guidelines and maintain a clean, organized work area within the warehouse environment.
• Support logistics operations to ensure timely, accurate distribution of products from the facility to downstream locations.

Essential Skills

• Experience in shipping and receiving operations, including handling inbound and outbound freight.
• Hands-on experience with warehouse management systems (WMS) for inventory tracking and transaction processing.
• Proficiency with Microsoft Office, particularly Microsoft Excel, for data entry and basic reporting.
• Ability to perform accurate data entry and maintain detailed shipping, receiving, and inventory records.
• Strong communication skills for coordinating with drivers and internal teams.
• Ability to lift up to 50 lbs. safely and repeatedly in a warehouse environment.
• Competence using RF scanners and related warehouse technology to process inventory and shipments.
• Experience with inventory control, including counting, tracking, and reconciling stock.
• Comfort working with logistics processes, bills of lading, and other shipping documentation.
• Ability to operate forklifts or willingness to work around and with material handling equipment.
• Attention to detail and ability to detect mistakes in documentation, inventory, and shipment processing.

Additional Skills & Qualifications

• Familiarity with GMPs (Good Manufacturing Practices) and SOPs (Standard Operating Procedures), especially in FDA-regulated environments, is a plus.
• Experience using Google Sheets or similar tools for tracking and reporting data.
• Experience in warehouse management, logistics, or distribution operations.
• Prior experience working with SAP or other inventory management systems is a plus.
• Comfort working in a semi-climate-controlled warehouse where product temperature requirements must be maintained.
• Demonstrated reliability and strong attendance, which can support advancement to higher levels with corresponding pay increases.

Work Environment

This position is based in a large, approximately 500,000-square-foot distribution warehouse with around 40 employees, located in a brand-new, semi-climate-controlled facility. The site serves as a distribution hub for chocolate manufacturing operations, handling products such as roasted beans, chocolate liquor, powders, and cocoa butter. The facility has air conditioning in the summer but no heat in the winter to ensure products remain below required temperatures at all times. The role is on the B shift, working 7:00 p.m. to 7:00 a.m. on Sunday, Monday, Tuesday, and every other Wednesday. Work involves regular use of warehouse management systems, RF scanners, forklifts, and standard office software in a production-focused environment where safety, product quality, and adherence to procedures are essential.

This is a Contract to Hire position based out of Bethlehem, PA.

Pay and Benefits

The pay range for this position is $20.00 - $20.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
