Onboarding Operations Coordinator

We are seeking a proactive, highly organized Learning, Onboarding & Development Operations Coordinator to support their active Organization Development (OD) team. This dynamic role owns the logistics, execution, and tech integrations for the company's New Associate Orientation (NAO) program and internal training events. - Education: Associate degree or equivalent corporate work experience required.
- Experience: 2+ years of administrative coordination experience. Prior experience operating inside a Training, Human Resources, or Organizational Development department is highly preferred.
- HR Tech Skills: Experience working directly inside a mainstream Learning Management System (LMS) like Cornerstone, SuccessFactors, or standard HR platforms is a major plus.
- Microsoft 365 Mastery: Demonstrated proficiency in Outlook (complex team scheduling), Word, PowerPoint, Excel (formulas and trackers), and Teams. Practical experience or a strong desire to learn advanced workflow tools like Microsoft Lists and Power Automate is required.
- Design & Marketing (Preferred): Prior experience creating clean, engaging internal newsletters or marketing communications using platforms like Canva is a huge plus!
- Core Competencies: Meticulous attention to detail, robust problem-solving skills, excellent verbal/written communication, and the ability to seamlessly manage multiple project timelines simultaneously.

- Onboarding Program Logistics: Manage all execution details for the New Associate Orientation (NAO) program, including scheduling presenters, proactively resolving booking conflicts, configuring training materials, and setting up sessions.
- Learning Management System (LMS) Administration: Manage participant rosters, course creation, evaluation data, and training records within an enterprise LMS system (e.g., Cornerstone, SuccessFactors).
- Workflow Optimization: Leverage the Microsoft 365 ecosystem—including Microsoft Lists, SharePoint, and Power Automate workflows —to automate and streamline daily training operations.
- Budget & Invoice Tracking: Track internal department spending, coordinate vendor/supplier invoice submissions, research transactional discrepancies, and process internal intercompany chargebacks.
- Corporate Associate Center Backup: Coordinate multi-functional facility logistics for corporate events, including spaces/room setup, AV tech coordination, and food and beverage catering arrangements.
- Data Metrics & Trend Reporting: Prepare monthly onboarding completion and feedback metrics, maintaining a high level of data accuracy to flag trends to the leadership team.
