ABOUT THE ROLE:

The Program Specialist supports the planning, coordination, and successful implementation of summer programming at Explorer Day Camp. This role assists with day-to-day program operations, follows up on program needs, coordinates special events, and provides administrative support to ensure programs run smoothly and efficiently. Responsibilities also include purchasing and organizing camp supplies, coordinating logistics, and supporting staff and program teams throughout the summer season.

ROLE RESPONSIBILITIES:

• Assist with planning, organizing, and implementing daily program activities and special events: Family Fun Night and Theme Fridays.
• Purchase and track camp supplies, equipment, and materials within approved budgets.
• Coordinate inventory management and maintain adequate program and camp supplies.
• Assist with program setup, breakdown, and daily operations.
• Monitor program activities to help maintain a safe, organized, and positive environment.
• Prepare and maintain reports, forms, and documentation related to programs and camps.
• Process purchase requests, receipts, and expense records in accordance with organizational procedures.
• Provide customer service and respond to general participant inquiries.
• Assist with scheduling, logistics, and operational support for programs and events.
• Perform other related duties as assigned like supporting the Explorer team during high peak seasons.

Performance & Organizational Excellence:

• Participate in the agency's performance management process by establishing annual goals, completing mid-year and end-of-year evaluations, and engaging in ongoing performance discussions with supervisors.
• Complete documentation, data entry, and required reports accurately and on time in accordance with agency standards, funder requirements, and established deadlines, including updates to agency systems, dashboards, and tracking tools.
• Complete required annual professional development activities to maintain and strengthen clinical knowledge, professional skills, and overall job performance.
• Use program and service data to improve performance by participating in data review and discussion during supervision, department meetings, reporting activities, and other quality improvement efforts, including surveys and feedback activities, as applicable.

QUALIFICATIONS & KEY ATTRIBUTES:

MINIMUM QUALIFICATIONS:

• Associates (with education plan) or Bachelors degree preferred.
• 1 to 3 years of administrative or program support experience.
• Strong proficiency in Google Suite and data management systems.
• Experience working with youth programs, camps, recreation, or community services preferred.
• Experience with purchasing, inventory management, or administrative support is a plus.
• Strong organizational and customer service skills.
• Ability to manage multiple tasks and meet deadlines.
• Ability to work independently and as part of a team.

Physical Requirements:

• Ability to lift and carry up to 25 pounds.
• Ability to stand, walk, bend, and move supplies during program and camp activities.
• Ability to work both indoors and outdoors as needed.

PREFERRED QUALIFICATIONS:

• Previous experience in a Commonpoint role is a plus.
• Budget tracking and purchasing experience.
• Event coordination and logistics support.
• Strong attention to detail and record-keeping abilities.
• Experience working in diverse community settings.
• Driver's License.
