Supply Chain Associate

Organizational context: The International Organization for Migration (IOM) Washington Global Office seeks a Supply Chain Associate. This G5-level position, based in Washington D.C., operates under the supervision of the Senior Supply Chain Coordinator and Senior Supply Chain Associate. The role supports procurement functions for the Washington office, its sub-offices, and the IOM office at the UN in New York. Job purpose: The Supply Chain Associate is responsible for managing and supporting procurement functions across the IOM Washington Global Office, its sub-offices, and the IOM Office at the United Nations in New York. This role ensures efficient and compliant acquisition of goods and services, contributing to the operational effectiveness of these offices. The associate will collaborate with relevant units at Headquarters and Administrative Centers, providing essential support to staff in all procurement-related activities. The position aims to facilitate timely and cost-effective procurement, ensuring adherence to organizational policies and procedures, and supporting the overall mission of IOM. Responsibilities: Manage procurement requisitions, ensuring compliance with policies and obtaining necessary information. Assist in complex, high-value purchases. Prepare tender documents, solicit bids, and conduct bid analysis. Confirm supplier agreements, prepare purchase orders, and coordinate authorizations. Monitor open requisitions and ensure timely delivery of goods and services, coordinating receipt confirmation. Review vendor invoices, prepare payment requests, and facilitate timely supplier payments. Maintain procurement records and prepare periodic reports. Conduct market surveys to identify and evaluate potential suppliers. Manage contractual agreements, monitor supplies, and process utility payments. Provide technical guidance on procurement procedures to staff. Perform supply chain tasks related to asset management, warehousing, and transportation. Coordinate fleet operations, including vehicle scheduling and maintenance. Provide training and guidance to junior supply chain staff. Education: A university degree in Business Administration, Accounting, Logistics, or Supply Chain Management with three years of relevant experience is required. Alternatively, a high school diploma with five years of relevant professional experience is acceptable. Certification in Procurement, Logistics, or Supply Chain Management is considered an advantage. Work experience: Experience in procurement and logistics, including working with vendors and service providers, is required. Experience with asset management processes is also necessary. Prior experience with IOM/UN Procurement and Logistics Rules and Procedures, and working in an international organization, are considered advantageous. Skills: High level of computer literacy. Ability to work with national and international institutions. Skill in preparing clear and concise reports. Excellent communication and negotiation skills.
