Position Description:
The Program Coordinator for University Health Services and Student Support Services provides direct administrative and operational support to clinicians and professional staff within University Health Services and the Student Counseling Center. This position functions as a shared practice support coordinator and is responsible for scheduling, front-office workflow coordination, student communications, records support, and day-to-day administrative processes that allow clinical staff to focus on service delivery. The role serves as a central point of contact for students seeking services and helps ensure operations are organized, responsive, student-centered, and consistent across both areas.

Major/Essential Functions:
Provide direct administrative support to clinicians and professional staff in University Health Services and the Student Counseling Center.
Manage shared scheduling functions for assigned providers, including appointment coordination, calendar maintenance, rescheduling, and related follow-up.
Serve as a primary front-office contact for students seeking services in University Health Services and the Student Counseling Center and assist with intake-related communication and routing.
Coordinate student-facing communications related to appointments, scheduling changes, reminders, forms, office procedures, and general service information.
Support front desk and reception workflows for University Health Services and Student Support Services, including management of student traffic, phone coverage, and general office responsiveness.
Maintain organized records, files, and documentation processes in accordance with office procedures, confidentiality standards, and applicable institutional requirements.
Assist with processing and tracking operational forms, internal referrals, routine documentation, and other administrative workflows that support clinical operations.
Coordinate office logistics, supply monitoring, inventory support, and other day-to-day operational needs for the shared service areas.
Work closely with clinicians, directors, and division operations staff to improve scheduling workflows, communication practices, and service coordination across the two areas.
Help maintain accurate contact information, basic service data, and other administrative records needed for reporting, follow-up, and operational continuity.
Provide courteous, timely, and student-centered assistance while handling sensitive situations with discretion and professionalism.
Assist with development and refinement of office procedures, scripts, workflow guides, and communication templates that improve consistency and service quality.
Support the initiatives, workload, and strategic priorities of the Office of Student Services and Student Engagement and the broader enrollment management enterprise as requested by designated leadership.
Remains current with all licensure, certifications and mandatory compliances and trainings required of this position.
Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.).

Preferred Qualifications:
Experience in medical office support, counseling center support, student services, patient scheduling, administrative coordination, or other high-contact service environments preferred.
Experience managing calendars, scheduling systems, front desk workflows, and student or patient communications preferred.
Strong organizational skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced and confidential environment preferred.
Strong written and verbal communication skills, professionalism, and sound judgment in handling sensitive information preferred.
Experience in a higher education, health services, counseling, or behavioral health setting preferred.
Experience with electronic forms, shared records processes, or office systems used to support clinical and student-facing operations preferred.
Medical assistant certification preferred, such as Certified Medical Assistant, CMA (AAMA), Registered Medical Assistant, RMA (AMT), Certified Clinical Medical Assistant, CCMA (NHA), or National Certified Medical Assistant, NCMA.
