Job Title: Director of Facilities
Reports To: VP of Property Management
Position Overview
The Facilities Director is responsible for the strategic and operational leadership to promote the performance, reliability, and lifecycle management of all building systems and multi-family assets across the portfolio. This position will be based in Chicago and be expected to travel to support out of state properties. Estimated travel requirement is 20%.
The Director of Facilities establishes and executes standardized maintenance programs, capital planning initiatives, and operational protocols to ensure assets are maintained at a high level, fully compliant with applicable codes and regulations, and aligned with ownership’s financial objectives. This includes oversight of preventive maintenance, rental unit turnovers, vendor management, and long-term capital improvement planning & execution.
Working in close partnership with Operations, Accounting, and Ownership, the Facilities Director drives cost efficiency, mitigates operational risk, and enhances the resident experience through consistent service delivery and infrastructure reliability. The role also provides leadership and development for regional and on-site facilities teams, ensuring accountability, performance consistency, and scalability across the portfolio.
Key Responsibilities
Strategic Planning and Leadership
· Develop and execute a comprehensive facilities management strategy aligned with asset performance, risk mitigation, and long-term capital planning objectives.
· Lead and develop a multidisciplinary facilities team, including maintenance, engineering, and support staff, fostering accountability and consistent performance standards.
· Establish and continuously refine standardized operating procedures, service standards, and documentation to drive operational consistency and efficiency.
· Develop and oversee annual operating budgets and capital plans in alignment with ownership objectives.
· Serve as a senior escalation point for complex maintenance and operational issues, providing technical guidance and decision-making support to on-site teams.
Operations, Maintenance, and Vendor Management
· Direct day-to-day facilities operations across the portfolio, ensuring high standards of cleanliness, system performance, and responsiveness.
· Oversee preventive maintenance programs to extend asset lifecycles, reduce downtime, and minimize reactive repairs. Ensure robust documentation is maintained of work performed.
· Ensure properties maintain timely execution of preventative maintenance, work orders, unit turns, and other service requests in alignment with defined performance standards.
· Develop and maintain emergency preparedness and business continuity plans for all properties.
· Source, negotiate, standardize and manage third-party vendors across all service categories, ensuring cost-effectiveness and service quality. This shall be accomplished with comprehensive, written contract scopes of work, onsite supervision and documentation of work performed.
· Identify and implement efficiency improvements, including energy management, utility cost control, and resource optimization initiatives.
· Ensure teams fully leverage all available labor and material warranties.
Property Transitions and Portfolio Integration
· Lead facilities onboarding for new properties, including staffing, building assessments, system evaluations, and identification of immediate and long-term needs.
· Establish property maintenance programs, vendor contracts, and operational standards at takeover.
· Collaborate with Ownership teams to ensure smooth transitions, rapid stabilization, and alignment with portfolio standards.
Capital Projects and Asset Improvement
· Support planning and execution of complex capital improvement projects, including system upgrades, renovations, and major repairs.
· Evaluate building systems, asset lifecycles, and deferred maintenance to inform capital planning and prioritization.
· Partner with company leadership on capital planning, cost analysis, and prioritization of projects based on asset conditions and return on investment.
· Engage with appropriate architects, engineers and other specialists for design consultation and inspection services as necessary.
· Engage with appropriate contractors with comprehensive subcontracts when appropriate.
· Oversee project execution to ensure work is fully completed, on time, within budget, and in accordance with quality standards.
· Coordinate with internal teams and external partners to minimize operational disruption during project delivery.
· Perform post-construction inspections to verify work is correct and complete.
Financial, Compliance, and Risk Management
· Develop and manage operating and capital budgets; monitor expenditures to ensure alignment with financial objectives.
· Oversee utility management strategies, including billing, cost recovery, and identification of efficiency opportunities.
· Ensure all properties maintain full compliance with applicable codes, inspections, permits, and life-safety requirements.
· Ensure property teams are maintaining accurate and complete documentation for internal and regulatory inspections, certifications, maintenance records, and emergency procedures.
· Establish and enforce safety protocols and ensure compliance with all local, state, and federal regulations.
· Lead response efforts and post-incident evaluations for major building events, implementing corrective actions as needed.
Qualifications
Education
· Bachelor’s degree in Facilities Management, Construction, Engineering, Business Administration, or related field required.
· Professional certifications preferred, including but not limited to:
· Certified Facility Manager
· Facility Management professional
· Project Management Professional
Experience
· 8+ years of progressive multi-site, multifamily facilities management or construction experience
· Demonstrated experience managing teams, budgets, vendors, and capital initiatives.
· Strong understanding of building systems, compliance requirements, and operational best practices.
Skills
· In-depth knowledge of HVAC, electrical, plumbing, pools, façade and life-safety systems
· Strong vendor and contract management capabilities
· Organized and thorough financial budgeting, forecasting, and cost control
· Ability to lead across multiple properties and teams
· Strong communication, organization, and problem-solving skills
