Key Personnel is seeking a Patient Care Coordinator (Scheduler) to join a growing women’s healthcare practice in the Tulsa area. This is a full-time opportunity for someone who enjoys working with patients, providing excellent customer service, and managing a busy scheduling environment.

Patient Care Coordinator (Scheduler) Job Summary

The Patient Care Coordinator is responsible for providing a positive experience for patients and callers by answering incoming calls, scheduling appointments, managing messages, and directing inquiries to the appropriate staff. This position requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced medical office environment.

Patient Care Coordinator Essential Duties & Responsibilities

• Answer incoming calls promptly and professionally.

• Monitor appointment voicemail and return patient calls in a timely manner.

• Schedule patient appointments according to practice guidelines.

• Accurately enter and update patient information in the computer system.

• Transfer calls to the appropriate departments or medical personnel.

• Contact patients to reschedule appointments when provider schedules change.

• Communicate patient emergencies to clinical staff and providers immediately.

• Respond to patient questions and concerns with professionalism and excellent customer service.

• Maintain patient confidentiality and follow all HIPAA and compliance guidelines.

• Notify management of any issues with the phone system.

• Maintain a clean and organized work environment.

• Assist other departments and facilities as needed.

Patient Care Coordinator Qualifications

• High school diploma or GED required.

• Previous administrative, receptionist, or customer service experience preferred.

• Medical office experience is a plus.

• Medical training or certification is helpful but not required.

• Basic typing and computer skills required.

• Ability to learn medical software and scheduling systems.

• Strong verbal and written communication skills.

• Excellent attention to detail and organizational skills.

• Ability to multitask and manage a high volume of incoming calls.

• Must be able to communicate calmly and professionally with patients, families, providers, and coworkers.

• Ability to handle confidential patient and financial information appropriately.

Work Environment & Physical Requirements

• Primarily office-based in a medical practice setting.

• Requires sitting for extended periods and occasional standing, walking, bending, and reaching.

• Must be able to lift or maneuver up to 20 pounds.

• May occasionally travel between facilities to provide coverage or retrieve materials.

• Occasional extended evening hours may be required.
