Administrative Registration Specialist

We are seeking a dedicated Administrative Registration Specialist to join a healthcare facility serving the Midwest region. This role involves managing patient registration processes, including conducting interviews, updating records in electronic systems, obtaining consents, and ensuring data accuracy. The specialist will handle routine patient inquiries and collaborate closely with various departments and provider offices.

Work Schedule

Full-time positions are available with varying shifts: Monday to Friday 8:30am 5pm with weekend rotation, float shifts, and overnight shifts from 9pm 7am with differential pay.

Key Responsibilities
  • Interview patients in person or by phone to collect all necessary information for hospital and clinic records as well as billing systems.
  • Register or pre-register scheduled patients for inpatient admissions, outpatient services, and clinic visits following departmental policies.
  • Maintain admission accuracy by resolving system errors and warnings by shift end, including running insurance eligibility checks.
  • Scan and manage documents using general scanning software.
  • Verify outpatient and inpatient orders for accuracy and coordinate with the appropriate order coordinators.
  • Collect patient demographics and required signatures, issuing necessary information per policy.
  • Verify insurance coverage, notify relevant parties if pre-certification is incomplete, and determine upfront payments or co-payments.
  • Request payments from patients or family members following established scripts, log payments, issue receipts, and prepare recap sheets.
  • Maintain accurate petty cash balances daily.
  • Perform clerical duties such as answering phones, taking messages, filing, faxing, and scanning.
  • Assist patients with billing questions and payment processing at registration locations.
  • Maintain regular and reliable attendance and perform physical demands of the job.
Education and Requirements
  • High school diploma, GED, or equivalent is required.
  • Completion of a Mandatory Reporter course at hire or within six months is mandatory.
  • Proficiency with personal computers and familiarity with inpatient and outpatient hospital insurance claims filing and reimbursement principles is preferred.
  • Ability to operate office equipment efficiently.
