Materials Buyer / Materials Specialist

Position Overview

We are seeking a detail-oriented Materials Buyer / Materials Specialist to support purchasing, supplier coordination, inventory management, and material delivery activities. This position will work closely with suppliers, Purchasing, Production, Planning, Engineering, and other internal teams to ensure materials and components are available and delivered accurately and on time.

The Materials Buyer / Materials Specialist will monitor purchase orders, resolve supply and delivery issues, maintain accurate system information, and assist with inventory and supply chain activities.

Key Responsibilities

Purchasing & Supplier Coordination

• Collect purchase requisitions and create purchase orders for suppliers.
• Send purchase orders to suppliers and monitor order confirmations.
• Follow up with suppliers regarding quantities, pricing, delivery dates, and order discrepancies.
• Resolve potential delays or deviations and communicate issues to the appropriate departments.
• Maintain purchase orders when changes are required within authorized guidelines.
• Update systems with reasons for delays and other relevant order information.
• Identify and correct ordering errors with internal and external stakeholders.
• Work with Purchasing to resolve missing or unclear pricing, supplier, or purchasing information.
• Monitor and clean up outdated or unnecessary purchase requisitions and purchase orders.
• Verify supplier delivery information and communicate quality issues or corrective actions.
• Assist with supplier returns, credit notes, and other purchasing-related resolutions.
• Support supplier performance tracking and data validation.
• Assist with invoice verification when discrepancies occur.
• Communicate with suppliers regarding missing traceability information and required corrective actions.
• Prepare and communicate demand forecasts to suppliers as needed.

Inventory Management

• Monitor inventory levels and maintain accurate system records.
• Investigate and resolve inventory discrepancies.
• Monitor material availability and take action to prevent stock shortages.
• Update system parameters and replenishment strategies when material consumption changes.
• Correct daily system errors related to inventory and material transactions.
• Participate in physical inventory counts at company facilities and external supplier locations.
• Assist with subcontracting and externally supplied material processes.

Material & Delivery Coordination

• Work closely with Production Schedulers and Planners to prevent material shortages and production delays.
• Monitor deliveries of purchased materials and services according to agreed-upon requirements.
• Track delayed shipments and communicate status updates to internal stakeholders.
• Coordinate with internal departments to resolve delivery issues and minimize their impact.
• Verify production order information and request corrections when necessary.
• Complete system transactions required for material and component deliveries.
• Coordinate material imports and related documentation when needed.
• Coordinate transfers or sales of materials between facilities or external suppliers.
• Prepare required shipping documentation and invoices.
• Communicate warranty-related supplier claims and assist with returns, repairs, or rework.
• Support continuous improvement and process-change initiatives.

Qualifications

• Previous experience in materials, purchasing, procurement, inventory, supply chain, or logistics.
• Experience creating and managing purchase orders.
• Strong supplier and vendor communication skills.
• Experience working with ERP, purchasing, inventory, or other business management systems.
• Strong attention to detail and data accuracy.
• Ability to identify and resolve discrepancies involving orders, inventory, pricing, and deliveries.
• Strong organizational and follow-up skills.
• Ability to manage multiple priorities and meet deadlines.
• Strong written and verbal communication skills.
• Ability to work effectively with Purchasing, Production, Planning, Engineering, suppliers, and other departments.
• Proficiency with Microsoft Office, particularly Excel.
