The Facilities Services Specialist is responsible for coordinating mailroom and facilities services operations, ensuring mailroom staff coverage during business hours, and ensuring mailroom operations procedures and responsibilities are executed efficiently and effectively. This position supports vendor relationships, facility-related services, operational reporting, and process improvements that enhance service delivery across Centra locations.At Centra, we approach compensation with care and integrity, ensuring our pay practices reflect local markets while honoring our commitment to our Team Members. The starting wage for this opportunity is $27.68 per hour. Hourly compensation is just one part of our total rewards approach. Spanish/English interpreters may be eligible for an interpreting differential.ESSENTIAL FUNCTIONS: This position may be required to perform additional duties as requested. Reasonable accommodations may be made to enable individuals with disabilities to perform.Develops and manages mailroom schedules to ensure adequate coverage during business hours and coordinates adjustments as needed to maintain uninterrupted mailroom operations.Ensures internal and outgoing/incoming mail is sorted, distributed, and collected daily within CCHQ. Interacts with courier service providers and prepares courier documentation and maintains tracking files.Manages requests from branches and coordinates supply and distribution of items ensuring the requester is informed of the status of their request.Maintains records for the amounts and costs of mailings and parcels sent, utility cost, and usage, and provides monthly reports. Manages inquiries on any utility invoices that show anomalies directly with the utility provider.Supports Facilities projects and conducts cost and performance analysis to identify efficiencies, recurring issues, equipment lifecycle trends, and future needs; develops projections and recommendations to support planning and future investment decisions.Maintains mailroom equipment and coordinates repairs, maintenance, and equipment upgrades, as needed.Ensures the cleanliness and safety of Work Cafe, wellness rooms, lobby, and receiving dock areas, and maintains inventory of Centra-supplied items for replenishment in these areas.Serves as the primary liaison for vendor relationships and coordinates Certifications of Liability, W9s, and other risk-related requirements in support of Centra’s best interest.Administers the vehicle fleet program, including vehicle assignments, fuel card distribution, and fuel card invoice monitoring.Updates seating plans for every Centra location in Office Space, editing plans for new, vacated, and transferring positions.Ensures the Facility Services department serves CCHQ visitors in lobby reception area when required.Administers the physical security access control system by granting access to new hires, modifying access levels as needed, distributing passcodes and fobs, and promptly removing building access for departing team members to maintain security and compliance.Provides day-to-day support for mailroom operations, guidance, training, and analytics to ensure service expectations, procedures, and operational standards are consistently met.Orders janitorial supplies as required for the janitorial crew. Ensures minimum stock held at CCHQ.EDUCATION & EXPERIENCE - (EQUIVALENT COMBINATION OF EDUCATION & EXPERIENCE WILL BE CONSIDERED):High School Diploma or General Education Diploma (GED)A minimum of one year up to three years of similar or related experience, including preparatory experience.Centra Credit Union is an Equal Opportunity Employer.
