Hospitality Manager

Our client, one of New York City's premier global law firms, is seeking an experienced and highly organized Hospitality Manager to lead workplace hospitality operations and spearhead special events and programming.
This is a high-visibility leadership role responsible for creating exceptional experiences for the client while overseeing a team of Hospitality Assistant Managers and Hospitality Ambassadors. The Hospitality Manager will partner closely with the Catering General Manager, Special Event Coordinators, Executive Chef, Food & Beverage Manager, client stakeholders, Employee Resource Groups (ERGs), and internal departments to plan and execute meetings, events, and workplace programming.
The ideal candidate is a strategic and hands-on hospitality leader who combines strong event management skills with exceptional client service, team leadership, and operational discipline. This individual will play a key role in developing programming, strengthening client relationships, identifying new event opportunities, and ensuring every detail of the guest and client experience is executed to the highest standard.
What You'll Do:
Event & Workplace Programming
- Lead the planning and execution of special events, meetings, workplace programs, and in-office experiences of varying size and complexity.
- Curate and oversee in-office programming in partnership with departments, Employee Resource Groups (ERGs), and key client stakeholders.
- Develop event plans, timelines, workflows, and staffing requirements while delegating planning responsibilities appropriately across the team.
- Participate in management meetings, high-level event planning discussions, and fast-break planning calls.
- Coordinate all aspects of assigned events and bookings, including AV needs, room configurations, food and beverage, meeting materials, rentals, parking, billing, and other event requirements.
- Oversee event setup, preparation, service, and breakdown, ensuring all elements are executed according to client expectations.
- Attend weekly and daily BEO meetings to review upcoming programs, changes, staffing needs, and special event requirements.
- Meet with clients before events to confirm room setups and address any last-minute changes, while maintaining communication with the client throughout the event.
- Oversee private event workflows and partner with the catering department on planning, costing, and execution.
- Identify opportunities to expand on-site programming and special events while proactively building an event pipeline.
Client & Guest Experience
- Serve as a key point of contact for the client regarding hospitality, events, programming, and workplace experience.
- Develop and maintain strong relationships with client stakeholders, departments, ERGs, and key service users.
- Oversee executive locations and VIP visitor coverage, ensuring high-profile guests receive an elevated and seamless experience.
- Oversee the coordination of scheduled interviews, photo shoots, media visits, office tours, and other high-profile workplace activities.
- Manage conferencing and event-related needs, including room configurations, booking issues, guest registration, and client requests.
- Facilitate external customer relationships and represent the hospitality program professionally at meetings and events.
- Manage and coordinate COIs, vendor agreements, documentation, and other event-related requirements.
- Partner with vendors and key client contacts to ensure all services are delivered according to expectations.
Team Leadership & Development
- Directly supervise and provide leadership to Hospitality Assistant Managers and Hospitality Ambassadors.
- Create and reinforce daily structure, priorities, workflows, and service expectations for the hospitality team.
- Coach and develop team members through ongoing feedback, training, and performance support.
- Help implement and enforce hospitality policies, procedures, service standards, and conference center guidelines.
- Hold team members accountable for performance, professionalism, guest service, and operational expectations.
- Use good judgment, fairness, and consistency when making decisions and addressing team concerns.
- Develop team-building activities and training opportunities that promote positive morale, engagement, and collaboration.
- Maintain a high level of team morale, cooperation, and professionalism.
Operations & Service Excellence
- Assist the Catering General Manager with overseeing day-to-day hospitality operations and ensuring all administrative responsibilities are completed efficiently.
- Monitor operational performance and use available data, feedback, and service trends to identify areas for improvement.
- Ensure appropriate sanitation, organization, safety, and presentation standards are consistently maintained through checklists, hands-on supervision, and follow-up.
- Ensure the team follows established workflows, conference center procedures, and operational standards.
- Partner with catering and café operations to coordinate events and workplace programming.
- Support communications and marketing initiatives by reviewing, coordinating, or creating content related to hospitality programs and events.
- Collaborate with internal departments and client stakeholders to develop a strong pipeline of future programming and events.
Business Development & Growth
- Identify opportunities to grow the event management side of the business through proactive planning and relationship development.
- Build a pipeline of recurring on-site events, workplace programs, and special events.
- Identify opportunities for year-over-year growth in event activity and programming.
- Develop strong client relationships that generate opportunities for future events and services.
- Maintain a proactive, strategic mindset toward event planning, client engagement, and business growth.

- Proven experience managing events, meetings, workplace programming, hospitality operations, or conference services .
- Strong leadership experience with the ability to coach, develop, and hold a team accountable.
- Exceptional client service and relationship management skills .
- Experience working with executive-level clients, VIP guests, or high-profile events preferred.
- Strong understanding of event planning, catering, food & beverage, room setup, AV, vendors, and event logistics .
- Excellent communication skills with the ability to interact professionally with clients, executives, vendors, and internal teams.
- Strong organizational and project management skills with the ability to manage multiple events and priorities simultaneously.
- Excellent problem-solving and conflict-resolution skills.
- Comfortable making decisions independently and exercising sound judgment in a fast-paced environment.
- Proactive and solutions-oriented with a strong attention to detail.
- Passion for hospitality and creating exceptional guest and client experiences.
- Comfortable working hands-on during events and remaining visible and engaged throughout event execution.
Preferred Qualifications:
- Bachelor's degree in Hospitality Management, Event Management, Business, or a related field preferred.
- Minimum of 1 year of experience in event planning, meeting planning, hospitality management, or a related field.
- Previous experience managing hospitality teams strongly preferred.
- Experience in corporate hospitality, luxury hospitality, hotels, restaurants, conference centers, private clubs, or high-profile corporate environments preferred.
- Experience with food & beverage operations and catering.
- Proficiency with Microsoft Office and other business applications.
- Strong written and verbal communication skills.
- Ability to work event-based hours, including evenings and weekends, when required.
