Job Summary The Administrator ensures and maintains regulatory compliance as mandated by licensing and Regional Centers. The Administrator ensures the health, well‑being, and safety of the clients; maintains regular communication with members and other outside agency representatives; manages staffing and labor hours in order to provide the highest quality care and support to clients; also oversees and trains direct care manager for mentorship and development in their roles. The Administrator role requires little to no clinical work. Most time is spent interacting with residents, families and staff, or in meetings, and requires excellent skills in time and stress management, a calm, patient, and professional demeanor, and deep understanding of both the clinical and business aspects of running a facility. Supervisory Responsibilities Ensures that newly hired staff are adequately trained by qualified managers. New staff must be oriented to scheduling system, Company policies, dress codes, Resident Rights, Emergency evacuation procedures and Clients critical needs and preferences, facility environment standards including compliance with medication protocols. The Administrator will introduce new staff to house manager and evaluate staff comfortability and performance on regular intervals. Maintains monthly schedules for ALL managers to ensure that all activities, appointments and programs in which residents will attend. Each week Administrator will have designated day to follow-up with management to ensure commitment to schedule. Administrator will implement disciplinary action ANYTIME schedule is unmet. Communicate with management regarding personal performance Duties / Responsibilities Maintain open communication with members, family, service coordinators, and/or other client representatives. Advocates for client’s optimal health, well‑being, and overall quality of life. Maintain appropriate staffing for the facility in accordance with caregiver experiences and facility demands Periodically assess management needs to include qualifications, strengths, weaknesses and training completed or needed Manage the day‑to‑day operations of the facility and keep the organization on track for its long‑term goals and mission: client notes documentation, medication audits, personal and incidental funds disbursement and audits, bodily inspections, maintenance of client and staff files, assist with timecard review and amendments, conduct monthly performance evaluations and provide statement of discussions for house managers, staff and administrative team. Attend trainings as mandated by the organization to enhance knowledge of a long‑term care facility Evaluates management re: client’s safety, well‑being and physical appearance. Provides prompt and professional feedback in a timely manner. Administer will provide consistent feedback on findings Maintain safety compliance and provide training to prevent staff and client injury Coordinate and provide leadership to each clinical, managerial, and custodial team, and ensure that they work together effectively Ensure the facility operates in compliance with all local, state, and federal regulations Ensure that all residents individual care plans are completed and up to date and acknowledgment is signed by all required parties Coordinate with clinical staff to ensure residents’ individual care plans are being followed Responsible for resident care such as scheduling medical appointments, following up on recommendations by the doctor and ensuring the well‑being and the overall medical condition of the residents Act as first responder in the field to emergencies and report special incidents according to applicable laws and regulations Coordinates The Gardens clients and staff events. The goal is to engage staff and clients in structured interactions to promote client and staff relations.
