JOB SUMMARY The Deputy Managing Director provides operational leadership for the Chicago Regionwide Community Information Exchange (CIE) by overseeing internal operations, coordinating organizational priorities, supporting executive decision-making, and ensuring strategic initiatives move efficiently from planning through implementation. Working closely with the Managing Director of the CIE, this position coordinates work across internal departments, consultants, vendors, finance, legal, contracts, human resources, communications, and technology functions while supporting organizational planning, budget coordination, procurement, staffing, governance activities, and implementation. The Deputy Managing Director serves as the CIE program’s operational integrator, ensuring that priorities remain aligned, decisions are operationalized, risks are proactively managed, and organizational resources are effectively coordinated to support the CIE program’s continued growth. This position is full-time, exempt, and reports to the Managing Director, CIE. IPHI’s standard work week is 37.5 hours. DUTIES AND RESPONSIBILITIES Operational Leadership Lead day-to-day organizational operations in partnership with the Managing Director. Translate strategic priorities into operational work plans, timelines, and implementation activities. Monitor organizational priorities, identify operational risks, and recommend solutions. Improve internal workflows, operating procedures, and organizational effectiveness. Executive Operations Coordinate executive priorities across departments, consultants, vendors, and partner organizations. Prepare executive briefings, recommendations, decision support materials, and implementation plans. Support governance activities, Board meetings, leadership meetings, and executive planning. Ensure executive decisions are effectively communicated and operationalized. Functional Leadership Integration Provide executive oversight for the program’s functional leaders. Coordinate programmatic priorities across Community Engagement, Partner Success, Strategic Engagement, Privacy & Security, Training & Education, Technical Operations, and Operations. Ensure functional strategies remain aligned with the CIE's strategic direction. Facilitate cross-functional collaboration and programmatic decision-making. Remove operational barriers that affect execution across functional areas. Monitor programmatic performance and recommend operational improvements. Organizational Coordination Coordinate CIE programmatic work across Finance, Legal, Human Resources, Communications, Technology, Operations, and Program Implementation teams. Ensure programmatic initiatives remain aligned across multiple workstreams. Facilitate communication, collaboration, and accountability throughout the CIE program. Resolve operational barriers that affect CIE program implementation. Contracts, Budgets & Resource Management Coordinate consultant contracts, scopes of work, amendments, procurement activities, and vendor relationships. Support budget planning, resource allocation, staffing coordination, and operational forecasting. Monitor implementation milestones, consultant deliverables, and programmatic commitments. Coordinate operational activities required to support grants, funding, and sustainability initiatives. Team Leadership Supervise assigned staff and provide coaching, mentoring, and performance management. Establish operational priorities and monitor programmatic performance. Foster accountability, collaboration, and continuous improvement across teams. Build programmatic capacity by developing systems that support efficient operations. Seeks and applies constructive feedback from team members and supervisors to continuously improve work quality and enhance collaboration Other duties as assigned. Administration Management Manages admin tasks related to employee supervision in the program Oversee multiple programs, projects, and/or budgets, ensuring alignment with organizational priorities QUALIFICATIONS A master’s degree in business, healthcare administration, public health, social services, social sciences research, or in a related area is required (or equivalent of 7 years of Public Health related experience) Five or more years of progressively responsible operational leadership experience. Experience supporting executive leadership and managing organizational operations. Experience coordinating contracts, procurement, consultant management, budgets, and cross-functional initiatives. Demonstrated success supervising staff and leading multidisciplinary teams. Exceptional organizational, communication, facilitation, and problem-solving skills. Previous supervisory experience is required Expert understanding of Microsoft programs including Excel, Word, PowerPoint, Teams, Outlook Expert understanding of Zoom, Asana, and other project management or organizing apps Strong attention to detail and prioritizes tasks for team to ensure deadlines are met JOB REQUIREMENTS The position is full-time, exempt, 37.5 FTE hours per week Must be able to sit at and operate a computer and other office equipment for a significant portion of the workday Must be able to move about the office to access files and supplies This position may entail occasional work in the evenings or on weekends and requires occasional travel for one or more nights from time to time This position is located in Chicago and will require adherence to our hybrid schedule. Starting Date: Immediate. Compensation: This position offers a salary range of $107,292 - $135,187 per year, depending on experience and qualifications. IPHI operates a hybrid office work model where team members work in the office two days per week (Tuesday, Wednesday, or Thursday), and individuals may work in the office or remotely the other three days per week. There is travel for meetings and site visits within Chicago, the suburbs, and Illinois.
