About the Role:


Do you have a passion for creating unforgettable events and delivering exceptional customer experiences? We're seeking a creative, organized, and customer-focused Event Specialist to guide clients from their initial inquiry through the successful execution of their event. This role combines sales, event design, project coordination, and hands-on event support, making it ideal for someone who thrives in a fast-paced, collaborative environment.

Key Responsibilities:

Client Sales & Customer Service

• Serve as the primary point of contact for clients throughout the entire event planning process
• Meet with clients in our showroom and at event venues to understand their vision, goals, and logistical needs.
• Prepare detailed proposals and recommend rental products and design solutions that align with each client's style and budget.
• Build lasting client relationships through outstanding communication, responsiveness, and personalized service.
• Ensure every client feels informed, supported, and confident leading up to their event

Event Design & Planning

• Collaborate with the design team to create beautiful, functional event layouts and décor concepts.
• Assist with sourcing new products and introducing innovative design ideas and inventory offerings.
• Conduct site visits to evaluate venues, identify logistical needs, and develop detailed event plans.
• Coordinate with venues and outside vendors to ensure seamless scheduling, setup, and event-day operations.

Event Execution

• Provide hands-on support during event installations, breakdowns, and on-site client meetings.
• Oversee event setups when needed to ensure every detail is executed accurately and meets company standards.
• Troubleshoot challenges professionally and help ensure every event exceeds client expectations.

Team Collaboration & Event Coordination

• Maintain accurate event documentation, including timelines, layouts, setup instructions, diagrams, and logistical notes.
• Review weekly event schedules to verify all event details are complete and communicated effectively.
• Partner closely with warehouse, logistics, and operations teams to ensure every event is executed efficiently and successfully.

Requirements:

• Outstanding customer service, communication, and relationship-building skills.
• Strong organizational and time management abilities with exceptional attention to detail.
• A creative eye for event design and the ability to visualize layouts and décor concepts.
• Confidence managing multiple projects while meeting deadlines in a fast-paced environment.
• Ability to work both independently and collaboratively as part of a team.
• Flexibility to assist with occasional evening or weekend events as business needs require.
• Previous experience in event planning, hospitality, sales, customer service, or project coordination is preferred.
