Hospital Unit Service Coordinator III

Job Summary The Unit Service Coordinator (USC), under the direction of the Patient Care Unit Manager or Charge Nurse, serves as the primary communication link among operating room, patient care, medical staff, and other hospital departments. The USC performs administrative tasks directed toward positive patient care outcomes. Responsibilities Maintain clear communication with OR/PAR staff, medical staff, and other departments. Follow house and telephone standards as established by the Medical Center. Prioritize and respond effectively to simultaneous requests. Initiate appropriate procedures for all emergencies. Conduct oneself in a calm, controlled, and professional manner. Receive and relay messages from patients, families, and staff to appropriate personnel timely. Provide current, accurate, and complete reports to incoming Unit Service Coordinator/Charge Nurse. Maintain unit-based flow board of patient bed assignments, transfers, discharges, and off‑unit procedures. Notify appropriate nurse and physician when a patient arrives on the unit. Contact physician and other staff when required. Update bulletin boards and other communication sources on the assigned unit. Communicate physician orders to nursing staff promptly and disseminate patient information. Maintain adequate quantity of administrative forms and supplies at the nursing station. Operate unit equipment (computer, fax machine, intercom system, etc.). Report and track malfunctioning equipment. Label, assemble, and maintain all patient charts in functional order, including filing reports of procedures, studies, tests, etc., and thin charts as necessary; keep charts in proper location. Dismantle patient chart and prepare it for delivery to Medical Records in a timely manner; ensure completion of the medical record. Accurately transcribe routine and STAT physician orders. Complete all forms and requisitions related to charges/billing. Consult a nurse or physician when written orders are unclear. Schedule procedures, tests, and X‑rays using knowledge of procedures and department functions to avoid conflict and disruption in scheduling. Receive and record patient information and admitting orders for same‑day admissions. Ensure patients’ valuables are secured according to established procedures. Complete bed‑control functions per departmental policy in a timely manner, including data entry of admissions, discharges, bed or unit transfers, and/or changes in attending or services. Copy necessary elements of chart for patient discharge or transfer to another facility or department. Utilize Medical Center automated systems to access and maintain patient information. Order patient medications, equipment, and supplies as requested. Orient new Unit Service Coordinators, students, and staff as appropriate (III level only). Follow all unit, department, Medical Center, and University policies, procedures, and work rules. Maintain confidentiality related to patients and staff. Adhere to applicable Medical Center and unit‑specific infection control, health, and safety policies and procedures, including annual safety training. Support the mission, philosophy, and goals of the Medical Center. Support the development of unit/team goals and actively participate in unit staff meetings, in‑services, and educational programs as required. Contribute to and actively participate in the quality assurance and quality improvement process, per JCAHO and/or other regulatory agencies. Maintain a clean, safe, and functional work environment. Work Environment Keep working areas neat, orderly, and clutter‑free, including hallways. Adhere to cleaning processes; put things back where they belong; report broken equipment and furniture. Picks up and disposes of litter throughout the facility. Post flyers and posters only in designated areas; refrain from posting on walls, doors, or windows. Know the location of the Environment of Care Manual and report unsafe conditions appropriately. Protect the physical environment and equipment from damage and theft. Other Functions and Responsibilities Perform other duties as assigned. Populations Served Infant Child Adolescent Adult Geriatric Medication Access and Storage Level 1 : Access medication storage areas for cleaning only, compliant with Medications and Auxiliary Staff competency. Level 2 : Access and transport medications, compliant with competency. Level 3 : Access, transport, and stock medications, compliant with competency. Qualifications Required Skills (II & III Level) Work effectively in a busy, team‑oriented environment. Excellent interpersonal and communication skills for diverse professional and patient populations. Willingness to learn new skills. Effective English communication, both oral and written. Basic arithmetic computations. Prioritize and coordinate multiple tasks. Demonstrated customer service skills/experience. Ability to perform job duties as defined in the description. Basic computer skills. Required Skills (III Level Only) Experience in a health‑care setting. Previous database/data entry experience. Medical terminology. Preferred Skills (II & III Level) Use of office equipment. Preferred Skills (II Level Only) Experience in a health‑care setting. Medical terminology.
