Medical Support Specialist

We are seeking a highly organized, energetic, and experienced Medical Clinical Specialist to support both clinical and administrative operations within the medical team. This role plays a critical part in supporting the astronaut medical journey, astronaut flight readiness, and pilot medical currency initiatives. This individual will partner cross‑functionally to optimize medical operations, support clinical workflows, coordinate administrative activities, and contribute to achieving company objectives through collaboration, accountability, and exceptional customer service. Responsibilities Clinical Support Serve as a primary point of contact for affiliate physicians, vendors, and customers Maintain and update confidential medical records Coordinate the collection and transfer of external medical records Manage clinic and pharmacy inventory and supplies Coordinate state‑mandated pharmacy inspections and maintain related documentation Prepare exam rooms and clean/sterilize medical equipment Assist physicians during exams, including basic measurements, vitals, and lab support Support medication documentation and clinical administrative processes Maintain strict confidentiality regarding medical and organizational matters Administrative Support Manage departmental calendars, records, and patient scheduling Support medical staff workflow coordination and scheduling activities Process purchase orders, requisitions, and vendor invoices Provide day‑to‑day administrative support for the medical department Maintain departmental policies, procedures, and document control records Coordinate meetings, including agenda preparation, note taking, action tracking, and follow‑up summaries Manage senior leader scheduling priorities and calendar coordination Support additional operational, clinical, and department projects as assigned Collaborate across teams to support organizational priorities and project execution Required Skills And Experience Associate degree or equivalent combination of education and relevant experience Three plus years of relevant professional experience Minimum 2 years of experience in a clinical setting (e.g., nursing, physical therapy, surgical technology, medical scribing, etc.) Experience working with Electronic Medical Record (EMR/EHR) systems Familiarity with healthcare privacy regulations, including HIPAA and GDPR Familiar with the use of personal protective equipment (PPE) Professional, empathetic, and customer‑focused approach Ability to manage competing priorities in a fast‑paced environment with minimal supervision Strong problem‑solving and process improvement mindset High attention to detail and ability to maintain confidentiality Effective collaboration skills across cross‑functional teams and varying organizational levels Strong interpersonal, organizational, and communication skills Demonstrated adaptability and willingness to adjust priorities and approaches as needed Ability to communicate in a timely, respectful, and collaborative manner Flexible schedule availability, including non‑standard hours and weekends Willingness to travel between work sites as required (mileage reimbursed) Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, Visio, and OneNote Demonstrate willingness to adjust thinking and behavior. Ability to communicate in a manner that is timely, respectful, and open to other ideas Preferred Skills And Experience Familiarity with FAA medical standards Experience supporting operations within an aerospace environment Physical And/or Additional Requirements Ability to stoop, bend, crawl, and maneuver in confined spaces Ability to stand and walk for extended periods (up to 2 hours uninterrupted) Ability to lift and carry items up to 40 lbs. without assistance Willingness to pursue additional training and certifications as needed The annual U.S. base salary range for this full‑time position is $69,550.00–$100,925.00. The base pay actually offered will vary depending on job‑related knowledge, skills, location, and experience and take into account internal equity. Other forms of pay (e.g., bonus or long term incentive) may be provided as part of the compensation package, in addition to a full range of medical, financial, and other benefits, dependent on the position offered.
