Veterinary ReceptionistArk Veterinary Hospital & Urgent Care is seeking a skilled and compassionate Veterinary Receptionist to serve as the primary point of contact for our clients and their pets. The hospital is open 7 days a week. Monday – Saturday 8 am – 8 pm, and Sunday 9 am – 8 pm. Rotating weekends and some closing shifts (8 pm), along with some holidays (10 am - 6 pm). Option to work three long shifts and one short shift to reach 40 hours, allowing for three days off each week.ResponsibilitiesGreet and check in clients and patients, verify and update medical records, and confirm appointment details using practice management softwareAnswer and manage a multi-line telephone system, responding to inquiries regarding appointment scheduling, prescription refill requests, vaccination records, and general hospital informationPerform client check-out, including processing payments, posting charges, explaining invoices, and scheduling follow-up appointmentsCommunicate medical information, diagnoses, and care instructions accurately and compassionately, including in emotionally sensitive situations such as euthanasia scheduling and end-of-life discussionsMaintain accurate electronic medical records (EMR) and ensure timely data entry in the veterinary practice information management system (PIMS)Coordinate with veterinarians, veterinary technicians, and support staff to relay client communications, flag urgent cases, and maintain efficient patient flowMaintain cleanliness and organization of the reception area and waiting room to ensure a positive client experienceQualificationsMinimum 1 year of experience as a veterinary receptionist is requiredExperience with veterinary practice management software; Cornerstone, Avimark, ImproMed, eVetPractice, or ezyVet preferredKnowledge of veterinary medical terminology, vaccination protocols, and basic diagnostic proceduresProficiency in appointment scheduling, multi-line phone management, medical records management, and payment processingProven customer service skills; ability to manage high-volume client relations with composure and accuracyStrong verbal and written communication skills, including active listening and conflict resolutionComfortable handling animals of varying sizes, breeds, and temperaments, including fearful or reactive patientsAbout Ark Veterinary Hospital and Urgent CareArk Veterinary Hospital & Urgent Care has been a trusted part of the Henrietta and Rochester communities since 2018, offering top-quality care for dogs, cats, and exotic pets.
