Role The Service & Administration Associate manages administrative functions for multiple AvalonBay properties, addressing resident concerns and providing exceptional customer service through phone, email and SmartRent. Responsibilities Administer all administrative duties within Community Support. Transcribe, assign, and complete SmartRent tasks. Process applications for new leases, roommate/guarantor add‑ons. Handle move‑ins, move‑outs, and notice‑to‑vacate forms. Answer inbound and outbound calls and provide customer service. Respond to noise‑related complaints via phone, email and SmartRent. Manage shared inboxes for multiple properties with timely responses. Record all resident interactions in Salesforce. Partner with maintenance teams to process move‑outs and evictions. Verify renters’ insurance for expired or expiring policies. Assist with transfers, affordable housing inquiries and corporate housing inquiries. Coordinate service requests with community staff and maintenance. Follow up with residents promptly and professionally. Complete touring‑related tasks and emails accurately and on time. Maintain documentation per AvalonBay policy and procedure. Work collaboratively with the onsite team and perform additional tasks as assigned. Knowledge, Skills and Abilities Provide exceptional customer experience internally and externally. Use written and verbal communication to address resident concerns. Build rapport quickly with residents and customers. Resolve resident problems independently. Read and write in English clearly and concisely. Use basic arithmetic for calculations, averages, percentages and prorations. Operate Microsoft Office applications (Word, Excel, PowerPoint). Pay exceptional attention to detail and solve problems. Work a flexible schedule. Technical Requirements Hardwired desktop to internet router; Wi‑Fi prohibited. Minimum 25Mbps down and up. Dedicated workspace for desktops with at least two monitors. Workspace must be secure, safe, quiet and ergonomically sound. Maintain adequate business tools; workspace changes require manager and HR approval. Education & Experience High school diploma or equivalent (GED) required. At least one year experience in a call center, shared services center or fast‑paced operations environment preferred. At least one year experience in customer service or onsite resident service interaction required. Software Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) required. Licenses / Certifications None required. Training Complete AVB’s new hire orientation within 30days of employment and any additional training assigned by the manager.
