Mail Services Representative Associate

The Mail Services Representative Associate supports the daily operations of the mailroom by assisting with the secure and accurate processing of incoming and outgoing mail. In a financial services organizationwhere confidentiality, accuracy, and reliability are essentialthis entry level role helps maintain efficient mail workflows, supports internal teams, and ensures a high level of service delivery.

Mail processing & distribution:

• Receive, sort, and distribute incoming mail, packages, and courier deliveries in accordance with internal routing procedures.
• Prepare, process, and send outgoing mailincluding USPS, FedEx, UPS, and other carriersensuring accuracy, appropriate packaging, and cost-effective shipping methods.
• Monitor mailroom equipment (postage meters, inserters, scanners) and ensure proper use and maintenance.
• Handle sensitive financial documents and confidential information in alignment with company policies and industry regulatory requirements.
• Maintain secure handling procedures for documents containing personal identifiable information (PII) and financial data.
• Track and document high value or time sensitive shipments.

Operational support:

• Assist internal departments with bulk mailings, interoffice deliveries, and special distribution projects.
• Maintain logs, records, and tracking systems for mail volumes, package deliveries, and courier services.

Participate in team and special assignments as required to meet business needs. Utilization of artificial intelligence tools and resources (e.g. generative AI).

What you bring:

• 2 or more years' experience required: Customer service
• High school diploma required
• You must be legally authorized to work in the U.S. without requiring immigration sponsorship now or in the future. This includes holders of H-1B, H4, L-1, L-2, TN, OPT, CPT, and other nonimmigrant visas.

Base Salary Range: $35,000 $51,000

Actual base salary may vary based upon factors such as relevant experience, qualifications, internal equity of peers, and geographic location. In addition to base salary, this position is eligible for an annual incentive program.
