Job Title: Receptionist and Administrative Assistant Job Description

This role provides front-desk reception and administrative support for the Honolulu location, ensuring a welcoming experience for visitors and efficient support for daily office operations. The receptionist and administrative assistant manages incoming inquiries, supports internal teams with administrative tasks, and helps maintain accurate records and documentation.

• Serve as the first point of contact for visitors and callers, providing courteous and professional customer service at all times.
• Answer, screen, and route incoming phone calls and messages to the appropriate individuals or departments.
• Greet visitors, verify their purpose of visit, and ensure they are directed or escorted to the correct contact or meeting area.
• Perform data entry tasks accurately and efficiently, maintaining up-to-date records and databases.
• Prepare, update, and organize documents, spreadsheets, and other administrative materials using Microsoft Excel and related tools.
• Provide general administrative support to the office, including filing, scanning, copying, and handling correspondence.
• Assist with scheduling meetings, appointments, and conference room bookings as needed.
• Support the coordination of office activities and communications to ensure smooth daily operations.
• Handle basic inquiries from customers, clients, and internal staff and escalate issues when necessary.
• Maintain a clean, orderly, and professional reception area and administrative workspace.

• Proven experience providing receptionist or administrative support in an office environment.
• Strong customer service skills with the ability to communicate clearly and professionally in person, over the phone, and in writing.
• Proficiency in data entry with a high level of accuracy and attention to detail.
• Working knowledge of Microsoft Excel for creating, updating, and maintaining spreadsheets.
• Ability to manage multiple tasks simultaneously and prioritize work in a fast-paced environment.
• Strong organizational and time management skills.
• Ability to maintain confidentiality and handle sensitive information appropriately.

• Experience in a front-desk, office assistant, or administrative role.
• Familiarity with general office software and equipment such as email, word processing tools, printers, and scanners.
• Strong interpersonal skills and a customer-focused mindset.
• Ability to work both independently and collaboratively with a team.

The role is based in an office environment at the Honolulu location, providing reception and administrative support during standard business hours. The position involves regular use of computers, Microsoft Excel, and typical office equipment such as phones, printers, and scanners. The work requires frequent interaction with visitors, callers, and internal staff in a professional setting, with an expectation of maintaining a neat and presentable appearance appropriate for a front-desk and administrative role.

This is a Contract to Hire position based out of Honolulu, HI.

The pay range for this position is $25.00 - $25.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
