Staff Accountant

Position Summary

A mission-driven nonprofit organization is seeking a detail-oriented accounting professional to support a variety of accounting and administrative functions while ensuring compliance with established accounting procedures and internal controls. Reporting to the Accounting Manager, this position plays a key role in safeguarding organizational assets, maintaining accurate financial records, and supporting operations that further the organization's mission.

Salary Range: $50,000 - $65,000

Principal Duties and Responsibilities

Accounts Receivable & Cash Management

• Process cash receipts, donations, and other incoming funds.
• Research and resolve payment discrepancies and respond to inquiries.
• Maintain accurate accounts receivable records and account balances.
• Partner with the Development/Philanthropy team to ensure donors receive timely and accurate gift acknowledgements.

Accounts Payable

• Review incoming invoices for proper coding, approvals, and supporting documentation.
• Verify invoices have not previously been paid prior to entry.
• Match receiving, purchasing, and vendor documentation as required.
• Process credit card transactions and reconcile supporting receipts.
• Code expenses according to the chart of accounts and approved budgets.
• Enter vendor invoices and payments into the accounting system.
• Communicate with vendors and resolve payment-related issues as needed.

General Accounting

• Prepare and enter journal entries as assigned.
• Reconcile balance sheet accounts monthly.
• Maintain complete and accurate documentation for all financial transactions.
• Assist in maintaining strong internal controls and financial compliance.
• Prepare financial reports for grants and restricted funding sources.
• Support annual budget preparation, external audits, and IRS reporting requirements.
• Assist with special projects, fundraising events, inventory activities, capital campaigns, grant tracking, and other organizational initiatives.
• Provide recommendations and process improvements to the Accounting Manager.
• Perform additional accounting and administrative duties as assigned.

Payroll Administration

• Process bi-weekly payroll accurately and on schedule.
• Prepare payroll reports and maintain payroll records in compliance with applicable requirements.

Qualifications

Required

• Bachelor's degree in Accounting, Finance, or related field, or equivalent combination of education and experience.
• Minimum of 2-3 years of accounting experience.
• Strong experience in Accounts Payable and disbursements processing.
• Working knowledge of accounting principles and general ledger transactions.
• Experience with accounting and financial software systems.
• Advanced proficiency in Microsoft Excel and Microsoft Word.
• Strong organizational, analytical, written, and verbal communication skills.
• Demonstrated ability to exercise sound judgment and maintain confidentiality.

Preferred

• Experience working in a nonprofit environment.
• Experience with grant accounting and donor-funded programs.
• Familiarity with NetSuite or similar ERP/accounting systems.
