We are seeking a skilled and experienced Medical Front Desk Associate to join our practice. The ideal candidate will have a minimum of 1 year of experience in the medical field, either through previous employment or education. This position requires travel to our Boca Raton office on Fridays. As a Medical Front Desk Associate, you will be responsible for providing excellent customer service and administrative support to patients, visitors, and healthcare professionals. The ability to work in a fast-paced environment, strong organizational skills, attention to detail, and comfort with payment collection are essential for success in this role.

Responsibilities:

1. Greet patients and visitors in a professional and friendly manner, creating a positive first impression of the healthcare facility.
2. Register new patients by collecting and verifying personal and insurance information accurately and efficiently.
3. Schedule appointments for patients, ensuring proper documentation and timely follow-up.
4. Answer phone calls, respond to inquiries, and direct calls to the appropriate staff members.
5. Maintain patient records, ensuring accuracy, confidentiality, and compliance with legal and ethical standards.
6. Assist patients with completing necessary forms and documentation, providing guidance when needed.
7. Verify insurance coverage and explain financial responsibilities to patients.
8. Collect payments for services rendered, accurately record transactions, and provide receipts to patients.
9. Coordinate with medical staff to ensure smooth patient flow and efficient clinic operations.
10. Manage and update the front desk area, ensuring a clean and organized workspace.
11. Collaborate with other administrative staff to support overall office efficiency and provide backup coverage when needed.
12. Stay updated on medical office procedures, policies, and regulations to provide accurate information to patients and staff.
13. Adhere to privacy and security regulations when handling patient information, maintaining confidentiality at all times.
14. Assist in maintaining inventory of office and medical supplies, placing orders as necessary.
15. Perform additional administrative duties as assigned by supervisors or managers.

Qualifications:

1. Minimum of 1 year of experience in a medical office or healthcare setting.
2. High school diploma or equivalent; additional certification or associate degree in a related field is a plus.
3. Bilingual proficiency in languages other than English is preferred but not required.
4. Strong organizational skills with the ability to multitask and prioritize tasks effectively.
5. Excellent attention to detail, ensuring accuracy in patient records, scheduling, and financial transactions.
6. Self-starter with the ability to work independently as well as part of a team.
7. Exceptional customer service skills, with a friendly and professional demeanor.
8. Proficient computer skills, including knowledge of electronic medical records (EMR) systems and Microsoft Office Suite.
9. Comfortable with handling financial transactions, including collecting payments and providing receipts.
10. Knowledge of medical terminology, insurance procedures, and HIPAA regulations is an advantage.
11. Excellent verbal and written communication skills.
12. Ability to work in a fast-paced environment while maintaining composure and professionalism.
