Position Summary

The role of the Program Liaison Specialist is to coordinate and manage assigned projects, contracts, and program activities to ensure financial, operational, and compliance requirements are met; responsible for project budgeting and expense management, monitoring performance and contract deliverables, coordinating stakeholder engagement, and ensuring timely reporting and documentation; serve as a key point of contact among internal staff, funding agencies, partners, and stakeholders while providing project administration and support to advance organizational initiatives.

Essential Job Duties

• Manage project budgets, expenditures, and administrative processes in accordance with contract requirements, approved budgets, applicable regulations, and organizational policies and procedures,
• Receive and process invoices, vendor set-up/updates, track and process donations, deposits and DCRL, support leader with financial narratives, business license renewals and tax renewals,
• Develop, organize, implement, and maintain project plans, strategies, schedules, timelines, and work assignments to ensure project objectives, deliverables, and deadlines are achieved in a timely and efficient manner.
• Monitor project performance and implementation activities; evaluate progress against established goals, contract requirements, and compliance standards; and recommend or implement modifications to strategies and processes as needed,
• Ensure compliance with applicable contract terms, funding requirements, audit findings, regulations, policies, and procedures, and support corrective actions, when necessary,
• Prepare, maintain, and submit monthly reports and other required documentation for programs, AMIkids, DJJ, funders, and other designated stakeholders,
• Organize, coordinate, lead, attend, and participate in project-related meetings with staff, partners, contractors, and stakeholders,
• Document meeting outcomes, track action items, and follow up with appropriate parties to ensure completion of project commitments and deliverables,
• Compose, review, and proofread project-related correspondence and develop high-quality reports, presentations, spreadsheets, and other program materials,
• Support internal and external audits,
• Build and maintain effective working relationships with internal and external stakeholders and provide exceptional customer service,
• Maintain a high level of professionalism, discretion, and confidentiality in all aspects of work,
• Collaborate effectively within multidisciplinary teams and across multiple locations or states to support organizational and project goals,
• Travel is required to support project activities, meetings, monitoring, training, and other work-related responsibilities,
• Assist with special projects and perform other duties as assigned.

Minimum Education, Training, and Experience

• Associate’s degree in business or related field of study; bachelor’s degree preferred,
• Two (2) years’ experience in related field (i.e.: Audit/Finance oversight and/or administration, compliance and risk, non-profit administration),
• Administrative experience in a workforce development setting is a plus,
• Prior project management experience preferred,
• Experience in exercising discretion and independent judgement,
• Effective Communication skills (verbal, written and presentation skills),
• Intermediate Microsoft Suite skills (Word, Excel, Outlook, Power Point).
