Job Description: Join Job Duck as a Marketing Operations Specialist and play a vital role in maintaining the operational excellence behind a high-performing legal marketing department. This position is responsible for ensuring marketing data accuracy, maintaining a strong and consistent local online presence, supporting website and CRM operations, managing directory profiles, and overseeing performance tracking initiatives that help marketing leaders make informed decisions. This is a highly structured, process driven role designed for someone who enjoys working with systems, checklists, and detailed workflows. The ideal candidate takes pride in accuracy, consistency, and organization, and finds satisfaction in keeping marketing assets, data, and reporting reliable and up to date. Success in this role is measured by precision, turnaround time, accountability, and the ability to execute recurring processes with a high degree of accuracy. Responsibilities Execute monthly AI search visibility and citation testing across ChatGPT, Claude, Gemini, Perplexity, and Google AI Overviews Execute email marketing deployments, audience segmentation, and list hygiene activities Maintain team calendars and assign tasks through Asana Document meeting notes, action items, and project updates Prepare weekly status reports for the Marketing Manager Track marketing and business development projects, tasks, deadlines, and follow ups Organize and maintain HubSpot templates, email sequences, and sales resources Validate UTM parameters, campaign tracking links, forms, and routing functionality Conduct database hygiene reviews, including duplicate management and field completion audits Document citations, competitor visibility, screenshots, and supporting evidence Monitor dispute performance metrics and coverage levels Submit eligible Google LSA disputes within required timelines Distribute and track quarterly attorney profile review checklists Maintain Rainmaker compliance trackers, documentation, deadlines, and profile status records Test profile links and phone numbers to verify proper functionality and routing Conduct monthly audits of all firm and attorney profiles to ensure accuracy and consistency Manage and maintain Google Business Profiles for Seattle, Tacoma, Olympia, and Vancouver offices Maintain business profiles across Google, Yelp, Bing, Apple, BBB, chamber directories, and legal directories Publish prewritten content across social media channels and monitor engagement activity Organize and maintain marketing asset libraries, including logos, creative files, photography, videos, and brand resources Update attorney and employee biographies when credentials or information change Reconcile dispute credits against monthly Google Ads statements Maintain dispute records, tracking logs, resolutions, and reimbursement documentation Maintain secure credential management procedures and profile change logs Prepare LinkedIn profile update briefs and maintain completion records Monitor attorney recognitions, speaking engagements, awards, and media mentions Track attorney profile performance and directory visibility trends Monitor reviews daily and manage responses according to established approval procedures Ensure complete NAP consistency across all directory listings and citations Validate SEO elements, tracking links, and website functionality before content goes live Add images, audio files, metadata, schema markup, titles, descriptions, and tags before publication Support reporting initiatives and marketing performance tracking Coordinate shipping, mailings, marketing materials, and event logistics Verify referral source tagging and data consistency Investigate and correct lead source attribution issues within marketing-owned fields Review Google Local Services Ads leads daily Manage submissions to legal and professional directories Assist attorneys with creating, updating, and optimizing professional directory profiles Maintain attorney biography and CV libraries Maintain content inventories, publication logs, refresh schedules, URLs, keywords, and update records Format and publish blog posts and website pages in WordPress and HubSpot Support the Vancouver office digital presence launch, including citation management, location page implementation, phone tracking, photography updates, and review generation processes Maintain SOPs, documentation libraries, process guides, and internal FAQs within Trainual Perform weekly HubSpot record audits and data quality reviews Deliver monthly AI visibility reports to marketing leadership Requirements Experience working in marketing operations, digital marketing support, CRM administration, or marketing coordination preferred Comfortable perfoming data audits, quality control reviews and reporting tasks.
