Quality CRM Specialist

EHC is looking for a Quality CRM Specialist for a Client in the Houston Area
Position Summary
The Quality CRM Specialist is responsible for managing and continuously improving client and supplier relationship management systems. This role ensures that prequalification records, certifications, performance data, and compliance documentation remain current and aligned with ISO 9001, ISO 14001, ISO 45001 standards, and internal governance requirements.
The position supports both business development and project execution activities by facilitating communication, compliance, data integrity, and knowledge sharing across client, supplier, and internal stakeholder groups.
Key Responsibilities
Client and Supplier Prequalification
- Maintain and update client and supplier profiles across third-party compliance and prequalification platforms, including ISNetworld, Avetta, Achilles, and similar systems.
- Prepare and submit prequalification packages and coordinate responses to client and auditor requests for additional information.
- Monitor expiration and renewal dates for quality, health and safety, insurance, financial, and regulatory certifications.
- Maintain centralized qualification libraries, certifications, and supporting documentation for internal teams and proposal submissions.
- Coordinate client and supplier audits, inspections, and site visits, ensuring scheduling, documentation, corrective actions, and follow-up activities are completed.
- Support supplier qualification and evaluation processes, including documentation of laboratory results, cost information, material properties, and quality assessments in collaboration with Supply Chain and Engineering teams.
CRM Data and Relationship Management
- Support the development and maintenance of CRM databases within the organization's business management systems.
- Capture, maintain, and update client and supplier information to ensure data accuracy and accessibility.
- Record project contacts, meeting notes, correspondence, and engagement history to support business continuity across departments.
- Track account activities, proposals, opportunities, and project lifecycle milestones.
- Develop and maintain a client interaction calendar that schedules meetings, site visits, follow-up actions, and key engagement activities.
Marketing and Business Intelligence
- Maintain a digital library of presentations, case studies, capability statements, brochures, technical data sheets, and other marketing materials.
- Capture and track leads, requests for information (RFIs), and potential business opportunities through CRM tools.
- Assist in coordinating industry events, client workshops, conferences, and exhibitions.
- Produce periodic competitor intelligence reports covering market activity, contract awards, fleet and equipment deployments, mergers and acquisitions, and emerging competitors.
- Collaborate with Business Development and Estimating teams to support bid strategies and market planning initiatives.
Project Support and Coordination
- Provide CRM and prequalification support during project transitions from tendering through execution phases.
- Maintain current supplier pricing, cost data, and product information in coordination with Engineering and Cost Management teams.
- Track action items arising from client and supplier meetings and ensure documentation is properly archived within CRM systems.
- Provide administrative support for project audits, reviews, and compliance activities.
Client Account Planning
- Develop and maintain Client Account Plans (CAPs) for key accounts, documenting project awards, upcoming opportunities, engagement history, industry developments, and strategic objectives.
- Coordinate quarterly reviews and updates of account plans with Commercial, Business Development, and Project Management teams.
- Track client satisfaction metrics, lessons learned, and continuous improvement initiatives for management review and reporting.
Key Performance Indicators (KPIs)
- Data Integrity: Maintain accurate and complete CRM records for active clients and suppliers.
- Timeliness: Ensure prequalification submissions and certification renewals are completed before expiration deadlines.
- Client Engagement: Track and document key client interactions and relationship-building activities.
- Reporting: Deliver account plans, competitor intelligence reports, and management reports on schedule.
- Support Effectiveness : Provide responsive and reliable support to Project Management, Business Development, Supply Chain, and Commercial teams.
Preferred Qualifications
- Experience with CRM systems, supplier management platforms, or compliance databases.
- Working knowledge of ISO 9001, ISO 14001, and ISO 45001 management systems.
- Strong organizational, documentation, and stakeholder coordination skills.
- Experience supporting business development, project management, quality, or supply chain functions.
- Proficiency with Microsoft Office applications and enterprise management systems.
- Strong analytical, communication, and relationship management skills.
