Student Records Specialist

Job Summary

This position is responsible for assisting in managing the college's student registration, graduation, and document management functions.

Location: GHC - Cartersville Instr. Site

Schedule: Full-Time

Georgia Highlands College is a multi-campus, state college member of the University System of Georgia. Responsibilities

Ensures compliance to federal, state, university system and institution policies and procedures related to registration, record management, and graduation. Processes and maintains student records and related documentation in accordance with established procedures and records retention requirements. Responds to student, faculty, and staff inquiries regarding registration, records, graduation, and related Registrar functions. Reviews, processes, and validates registration transactions, withdrawals, reinstatements, and other student record requests. Assists with degree audits, graduation processing, and certification of degree completion requirements. Evaluates and resolves student registration and graduation issues in accordance with institutional policies and procedures. Maintains and processes Registrar Office forms, workflows, and waitlist activities. Compiles, prepares, and submits reports required by institutional, state, and federal agencies. Researches and resolves registration, academic records, and graduation-related issues. Serves as backup support for Parchment Data Automation and DegreeWorks scribing functions. Provides support to the Registrar and Assistant Registrar during peak processing periods and for assigned operational responsibilities. Assists with special projects related to student records and registration services. Performs other related duties as assigned.

Required Qualifications

Bachelors degree in a course of study related to the occupational field Three (3) to five (5) years of experience working in admissions, registrar, records retention or closely related field Proficiency in Microsoft Office suite (Outlook, Teams, Excel) Ability to work independently on assigned tasks and projects Strong organizational, analytical, and customer service skills Ability to manage multiple priorities and meet deadlines. Ability to interpret, apply, and explain complex academic policies and procedures

Knowledge, Skills, & Abilities

Knowledge of federal, state, University System of Georgia and Board of Regents and institutional policies and procedures related to records management and student registration Knowledge of registrar operations, records management, degree processing, and related academic services functions. Knowledge of computers and job-related software programs Knowledge of the Family Educational Rights and Privacy Act (FERPA) and the ability to maintain confidentiality of student information. Skill in researching, analyzing, and resolving problems. Skill in interpreting and applying policies, procedures, and regulations. Skill in oral and written communication. Strong attention to detail and accuracy. Strong organizational and time management skills. Ability to build and maintain effective working relationships with students, faculty, staff, and external constituents. Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
