Position Summary

For over a century, Evergreen Memorial Trust has provided compassionate end-of-life planning and perpetual care across Western Virginia. We are seeking a detail-oriented Senior Bookkeeper (CPB/CB) to manage our core financial operations, ledger integrity, and multi-location account reconciliations. In this full-charge role, you will oversee day-to-day transactions, manage AP/AR, process weekly payroll for approximately 20 employees, and reconcile large bank and trust accounts with absolute accuracy. The ideal candidate brings 5+ years of hands-on bookkeeping experience, proficiency in Sage/Peachtree software, and the high ethical standards required to handle sensitive financial records.

Key Responsibilities

1. Financial Ledger & Account Management

• General Ledger & Daily Transactions: Record, verify, and post all daily financial transactions, incoming cash payments, and contract deposits into the correct general ledger accounts.
• Large Account & Trust Reconciliation: Reconcile monthly bank statements, credit card accounts, and large operational funds. Assist in maintaining accurate records for perpetual care trust funds and pre-need burial contract accounts.
• Month-End & Year-End Closing: Perform month-end close procedures, prepare adjusting journal entries, and ensure general ledger balances are fully reconciled.

2. Accounts Receivable (AR) & Accounts Payable (AP)

• Accounts Payable: Manage vendor payments, review invoices for accurate coding and authorization, process check runs, and negotiate payment schedules when required.
• Accounts Receivable: Process client payments, generate invoices/statements for pre-need and immediate-need family payment plans, and monitor outstanding balances with discretion and tact.
• Petty Cash & Cash Receipts: Manage office petty cash disbursements, prepare routine bank deposits, and track all physical cash/check receipts.

3. Payroll & HR Support

• Payroll Processing: Accurately process weekly payroll for approximately 20 full-time and part-time staff members (including administrative, sales, and groundskeeping personnel).
• Tax & Deductions Management: Calculate and remit payroll taxes, manage PTO accruals, process employee deductions, and prepare quarterly/annual payroll tax filings (or coordinate with external payroll services).

4. Compliance, Reporting & Tax Preparation

• Financial Reporting: Prepare regular monthly and quarterly financial summaries (Balance Sheet, Income Statement, Cash Flow) for upper management.
• Tax Forms & Audit Support: Complete required state and federal tax schedules (including 1099s, sales tax, and payroll tax returns). Prepare financial records for annual audits and tax returns completed by external CPAs.

Requirements and Qualifications

• Certification / Education:
• • Certified Bookkeeper (CPB via AIPB or NACPB certified) preferred.
  • High School Diploma or equivalent required; Associate’s or Bachelor’s Degree in Accounting, Finance, or Business Administration strongly preferred.
• Experience:
• • 5+ years of full-charge bookkeeping experience (or 3+ years with a professional certification and proven track record with complex ledger accounts).
  • Demonstrated experience balancing and reconciling large, high-volume bank accounts .
• Software & Technical Proficiency:
• • Expert proficiency with Sage / Peachtree Accounting systems.
  • Strong skills in Microsoft Office Suite (advanced Excel skills, including pivot tables and lookup formulas, preferred).
  • Direct experience running weekly payroll for ~20 employees .
• Key Skills & Attributes:
• • Strong foundational understanding of US GAAP, AP/AR workflows, and double-entry accounting.
  • Exceptional numerical precision and analytical skills.
  • Excellent written and verbal communication skills; ability to communicate respectfully in a memorial/cemetery service environment.
  • High ethical standards, confidentiality, and integrity when managing sensitive financial data and family trust records.
