Job Description Housing & Food Services has an outstanding opportunity for an Employee Relations & Training Coordinator (Human Resource Coordinator (NE S SEIU 925 Non Supv)) to join their team. About this Opportunity Reporting to Human Resources Director / DEIB Lead, the Employee Relations & Training Coordinator is responsible for providing coordinated program, administrative, and logistical support for the employee relations and learning & organizational development functions. The position strengthens the day-to-day infrastructure supporting employee relations processes, performance management administration, manager resources, department-wide learning offerings, facilitator support, and training systems. The role serves as a central coordination point for requests, schedules, records, timelines, communications, learning logistics, resources, and routine follow-up. Through accurate tracking, responsive service, and consistent use of approved tools and processes, the position supports program administrators focus on HR consultation, case strategy, subject-matter content, facilitation, and program improvement. Key Responsibilities Employee Relations Program Coordination and Case Administration (50%) Serve as a centralized administrative coordination point for employee relations and performance management requests, ensuring inquiries are acknowledged, documented, routed, and assigned to the appropriate HR practitioner. Maintain confidential employee relations intake logs, case trackers, timelines, status fields, action-item lists, and supporting records using established naming, access, public-records, and records-retention practices. Schedule manager consultations, employee meetings, fact-finding interviews, corrective action meetings, grievance preparation meetings, and related follow-up; coordinate calendars, rooms or virtual platforms, interpreters or accessibility logistics, and approved notices. Draft, proofread and format performance management and employee relations documents for consistency, completeness, readability, dates, names, attachments, and use of the current approved template before practitioner review and approval. Coordinate document routing, signatures, delivery, acknowledgment, secure filing, and follow-up deadlines for coaching documentation, performance improvement plans, corrective action, probationary actions, and other employment processes. Participate in workplace fact finding or investigations as a secondary HR practitioner, supporting the lead investigator by maintaining accurate and objective notes, organizing investigation records, and assisting with related fact-finding and case coordination. Learning and Training Program Coordination (30%) Coordinate the annual and quarterly HFS learning calendar, registration processes, participant communications, attendance records, materials, room or virtual platform logistics, evaluations, and post-session follow-up. Coordinate with facilitators, HR practitioners, subject-matter experts, presenters, and functional unit partners to confirm dates, learning objectives, approved content, materials, technology, roles, timelines, and participant needs. Maintain accurate enrollment, attendance, completion, evaluation, and learning-history records; respond to routine participant questions and route content or policy questions to the appropriate program lead. Conduct and facilitate trainings that have been constructed by subject matter experts. Resources, Data, SharePoint, and Systems Support (10%) Maintain approved employee relations, performance management, training, facilitation, and manager-support resources in HFS HR SharePoint sites and shared repositories, including version control, review dates, accessibility, organization, and removal of superseded materials. Enter, reconcile, and validate data in approved tracking systems, spreadsheets, dashboards, Workday reports, learning records, and shared tools; prepare routine operational reports and summaries related to case volume, timeliness, document status, training participation, completion, feedback, and outstanding actions. HR Team Coordination, Service, and Projects (10%) Participate in HR team meetings, program planning, process-improvement work, cross‑functional projects, and department initiatives as assigned. Preferred Qualifications Experience providing human resources program support. Experience that demonstrates: Proficiency with MS Office applications. Excellent administrative, financial, organizational, and problem‑solving skills. Excellent customer service skills and an ability to maintain a calm demeanor during high‑stress and challenging situations. Strong written and oral communication skills and attention to detail. Ability to quickly learn and adapt to new systems and processes. Effectiveness balancing customer service and business needs. Success multi‑tasking and prioritizing work. Working Conditions The position works primarily weekday business hours, with occasional evening, weekend, or on‑site work to support training, employee relations meetings, special events, urgent operational needs, or time‑sensitive HR matters. Work is deadline‑driven and requires the ability to manage competing priorities, maintain confidentiality, produce accurate written materials, and provide responsive coordination in a complex HR environment. The role may be eligible for limited remote work consistent with HFS HR expectations, business needs, confidentiality requirements, and an approved work arrangement. On‑site presence may be required for records work, meetings, training delivery, materials preparation, employee‑facing support, or operational coverage.
