Admissions Specialist

The Village is accredited by the International Commission on Accreditation of Rehabilitation Facilities (CARF) for its Adoptions, Foster Care, Mental Health, Wraparound, and Drop-In Center services. We deliver evidenced-based behavioral health services to children, youth and adults, and has long been at the forefront of culturally sensitive foster care and adoption services.

POSITION DESCRIPTION

The Admissions Specialist is responsible for managing and implementing the referral and intake process into the program, coordinating the open beds in the Portal, general office management, purchasing, submitting facility requests, and scheduling with the Resource Parents for drop-off and pick-up daily. The ideal candidate has a natural ability to roll with the punches, being flexible to handle anything that might come their way. You'll be a strong and reliable support to company operations, maintaining and creating procedures, communication, and safety.

REQUIREMENTS & QUALIFICATIONS

Bachelor's degree from an accredited college or university preferred or equivalent experience as determined by the licensing agency. 2+ years of office management experience; experience in foster care preferred Strong time-management and people skills, flexibility, and multitasking ability Advanced computer skills and experience with online platforms Proficiency Microsoft Office, with aptitude to learn new software and systems Pre-employment physical examination and may include a drug/alcohol test. TB test as required by Community Care Licensing. Livescan fingerprints background check. Clearance from the Department of Justice, Federal Bureau of Investigation and Child Abuse Index per Community Care Licensing. California Driver License and automobile insurance.

DUTIES & RESPONSIBILITIES

All of the responsibilities listed below are considered essential functions of this position. Additionally, this position is expected to ensure that the core operating values and the strategic direction of the agency are adhered to. Communicate with representatives and have knowledge of all the foster homes to help ensure the best placement Complete an initial placement match assessment of the children to determine the appropriateness of the placement and the best fit with a foster home. This includes presenting behavioral issues and medical problems. Contact appropriate staff to identify if children are an appropriate match for a certain foster home. Facilitate contacting the resource parent to see if they will accept the placement. Coordinate with the representative to set up the placement. Make sure placement paperwork is signed, completed and correct at the time of placement, including intake form, foster care agreements, authorization forms, medical forms, and children's photo. Coordinate where intake placement will take place and who is to be present (foster parents, case manager, clinician). Provide transportation if needed. Intake Coordinator will monitor the completion of the intake paperwork. Solicit potential placements through telephone contact, mailings, daily faxes, and consistent office visits with ongoing communication with representatives in counties agency has a contract to place children in agency certified homes. Keep track of daily placements and terminations for census reports. Create a child's initial case record.

VACCINATIONS REQUIRED

Be able to show proof of immunization or immunity to vaccine-preventable diseases transmitted by the respiratory route, including: Varicella: two doses of varicella vaccine (at least four weeks apart) OR born in the United States before 1980 with a reported history of chickenpox (verified by an adult present at the time of illness) OR titers indicating varicella immunity OR documentation from a healthcare provider verifying previous infection. MMR: two doses of MMR vaccine (at least four weeks apart) OR titers indicating immunity to all three diseases. Influenza: one dose annually during flu season. Physical Activity Reaching, Standing, Typing, Talking, Hearing, Repetitive Motion Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
