Win together.\"Position Overview:The Billing & Collections Specialist is responsible for supporting billing operations, collections activities, account resolution, and customer account maintenance across assigned business lines. This role operates with increased independence and ownership while ensuring billing accuracy, timely collections, and strong client support.This position supports operational revenue cycle activities including invoice processing, collections follow-up, payment reconciliation, account research, and issue resolution. The Billing & Collections Specialist partners closely with Operations, Payroll, Accounting, and clients to resolve discrepancies, improve workflows, and maintain the integrity of billing and collections processes.Principal Responsibilities:Billing Operations & Invoice ManagementPrepare, review, and process invoices accurately and timely across assigned accounts and business linesValidate billing information to ensure completeness, accuracy, and compliance with client and company requirementsMonitor billing workflows and resolve billing discrepancies or exceptions as neededMaintain accurate billing documentation and supporting records across systems and processesCollections & Account ResolutionManage assigned collections activities and follow-up efforts to support timely payment resolutionCommunicate with clients regarding outstanding balances, payment discrepancies, and account questionsResearch and resolve account issues impacting collections performance or invoice accuracyMaintain detailed documentation of collection activities, account status updates, and resolution effortsPayment Processing & ReconciliationSupport payment application and reconciliation activities across assigned accountsAssist with identifying and resolving unapplied payments, short payments, or account discrepanciesValidate account balances and support reconciliation of billing and payment recordsEnsure financial records are accurate and aligned across operational and accounting systemsCross-Functional CoordinationPartner with Operations, Payroll, Accounting, and client contacts to resolve billing and collections-related issuesCommunicate effectively regarding invoice status, payment concerns, and operational updatesSupport internal stakeholders with account research and collections reporting as neededBuild collaborative relationships across departments and client-facing teamsProcess Improvement & Operational SupportIdentify opportunities to improve billing workflows, collections efficiency, and operational consistencySupport implementation of process improvements and workflow enhancementsContribute to reduction of billing errors, delayed payments, and operational bottlenecksMaintain organized and accurate account documentation and operational recordsSystems & Reporting SupportUtilize billing, collections, and reporting systems to maintain accurate account information and reporting outputsSupport operational reporting and collections tracking activities as neededAssist with system updates, testing, and process changes impacting billing operationsMaintain consistency and integrity of account data across systems and workflowsTrio WFS Billing (System-Driven, Workflow-Based)Support billing and collections activities tied to workforce solutions and operational service modelsAssist with client account management, invoice reconciliation, and collections support specific to Trio operationsMaintain understanding of varying billing structures and operational workflows across business linesEducation and Certifications:Required: Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related fieldRequired Experience:2+ years of billing, collections, accounts receivable, or related financial operations experienceExperience managing customer accounts, invoice processing, or collections workflowsStrong organizational and problem-solving skillsProficiency in Microsoft Excel and Microsoft Office applicationsAbility to manage multiple priorities and deadlines in a fast-paced environmentStrong written and verbal communication skillsAbility to work independently while collaborating effectively across teamsStrong attention to detail and customer service orientationPreferred Experience:Experience in healthcare staffing, workforce solutions, or service-based industriesExperience with billing, accounting, or ERP systemsFamiliarity with collections reporting and account reconciliation processesExposure to process improvement or operational workflow initiativesExperience supporting high-volume transactional environmentsSuccess Metrics:Accuracy and timeliness of billing and invoice processingCollections performance and reduction in outstanding account balancesTimeliness and effectiveness of account issue resolutionReduction in billing discrepancies and operational reworkQuality and consistency of account documentation and reportingStakeholder and client satisfaction related to billing support and communicationLocation:This role is hybrid for candidates located within a reasonable commuting distance to our Edmond, OK or Frisco, TX offices.Compensation:The expected base hourly range for this position is $23.00 to $25.00 hourly.
