Workforce Development Support Services Coordinator

POSITION OVERVIEW

The Workforce Development Support Services Coordinator plays a critical role in supporting participant success by identifying barriers to training completion and employment and coordinating individualized strategies and resources to address those barriers. This position manages support services, tracks participant needs, and collaborates closely with program staff, community partners, and volunteers to ensure participants have the resources necessary to achieve their goals. The role also includes oversight of support service funding, grant expenditures, and designated donations to ensure responsible and compliant use of program resources.

CORE RESPONSIBILITIES

Participant Support & Case Coordination Assess participant needs and identify life-related challenges that may impact training completion and employment outcomes. Coordinate and provide support services such as transportation, work attire, childcare, food assistance, and referrals to community resources. Maintain regular follow‑up with participants to ensure services are effective and needs are being met. Conduct ongoing care coordination follow‑up with Workforce Development participants at 3-, 6-, 9-, and 12-month intervals following program completion to assess employment status, identify emerging barriers, and connect participants with appropriate resources and support services. Track participant progress and outcomes during post‑program follow‑up periods, including employment retention, career advancement, continued training or education, and ongoing support needs. Coordinate referrals and interventions as needed to address barriers that may affect employment retention, financial stability, or long‑term self‑sufficiency. Support Services Budget & Grant Management Track and monitor the support services budget to ensure funds are used appropriately and within approved limits. Manage grant‑funded expenditures and designated donations, ensuring compliance with all funding requirements. Maintain detailed and accurate records of participant‑related expenditures and financial assistance provided. Ensure all support services align with grant guidelines, program policies, and funding restrictions. Provide regular updates and reports on spending, utilization, and trends to Workforce Development leadership. Program Support Collaborate with Workforce Development staff to identify participants in need of additional support and coordinate appropriate interventions. Assist with participant intake, orientation, and onboarding as needed. Track and report on support service utilization and participant outcomes. Administrative & Reporting Duties Maintain organized documentation related to participant services, referrals, expenditures, and outcomes. Ensure accurate and timely data entry into CRM and tracking systems. Support program reporting, audits, and grant documentation as needed. Assist the Workforce Development team with special projects, events, and program initiatives.

KNOWLEDGE, SKILLS, AND ABILITIES

Associate or Bachelor’s degree in Human Services, Social Work, Workforce Development, or a related field preferred Minimum of 1–3 years of experience in case management, workforce development, human services, or a related field Experience working with underserved or barriered populations strongly preferred Experience with grant‑funded programs, resource coordination, or financial assistance programs preferred Experience with CRM systems and data tracking preferred

EDUCATION AND EXPERIENCE

Associate or bachelor’s degree in human services, Workforce Development, or a related field preferred. Certification or training in workforce development, career coaching, case management, or related areas preferred. Knowledge of workforce development systems, WIOA programs, or adult education frameworks is a plus. Minimum of 2–4 years of experience in workforce development, case management, social services, education, or community‑based support programs. Experience providing career coaching, job readiness training, or employment placement services are strongly preferred. Demonstrated experience working with diverse populations, including job seekers facing barriers to employment (e.g., low‑income individuals, reentry populations, youth, or individuals experiencing homelessness). Experience coordinating services with external partners such as employers, training providers, and community agencies. Experience maintaining case files, documentation, and reporting in compliance with program or funding requirements (e.g., WIOA, grant‑funded programs) preferred. Experience facilitating workshops, group sessions, or one‑on‑one client support. Supervisory or lead experience with interns, volunteers, or support staff is a plus.
