Schedule

• Monday - Friday

• 8:00 AM - 4:30 PM

• No weekends

• No holidays

Responsibilities

• Room and prepare patients for provider visits

• Obtain and document vital signs and patient information

• Review and update electronic medical records (EMR)

• Assist providers with minor office procedures as needed

• Coordinate patient flow to ensure efficient clinic operations

• Maintain exam rooms and clinical supplies

• Provide excellent customer service and patient support

Typical Day

A typical day includes rooming patients, taking vital signs, reviewing and updating EMR documentation, preparing patients for surgical consultations and follow-up visits, and assisting providers with minor procedures. You will play an important role in supporting both patients and the clinical team while helping ensure a smooth and efficient office experience.

• Prior patient care experience required

Responsibilities

• Collaborate with providers and care team members to support population health initiatives aimed at improving patient access to care, reducing emergency department utilization, and decreasing hospital readmissions.

• Conduct telephonic outreach to patients following hospital or emergency department discharge to schedule follow-up appointments, review medications, and reinforce treatment plans.

• Coordinate referrals to internal and external care team members and communicate post-discharge needs, concerns, or care plan discrepancies to providers.

• Participate in population health outreach efforts and assist with preventive care gap closure.

• Provide patient education to promote healthy lifestyles, disease prevention, and self-management.

• Foster patient engagement through wellness coaching, health literacy support, motivational interviewing, and effective communication techniques.

• Demonstrate proficiency in all practice-specific clinical responsibilities.

• Assist with workflow coordination and provide guidance to clinical staff as needed.

• Support management with supervisory activities, departmental initiatives, and process improvement efforts.

• Mentor, orient, and provide ongoing training to new and existing staff members.

• Serve as the department Epic Care super user and resource for staff.

• Partner with leadership to identify opportunities to improve clinical and non-clinical workflows, infection prevention practices, and patient assessment processes.

• Lead routine staff meetings and communicate procedural updates to enhance patient safety and service excellence.

• Ensure compliance with HIPAA and applicable state and federal regulations when handling patient information and medical records.

• Obtain laboratory reports, imaging results, hospital documentation, and referral information.

• Complete forms, requisitions, and other required documentation.

• Schedule appointments, verify insurance coverage, and maintain accurate patient demographic information.

• Prepare and manage patient charts and medical records to ensure completeness and accuracy.

• Perform additional front office duties as needed to support practice operations.

• Prepare examination and procedure rooms, instruments, and equipment according to established protocols.

• Maintain a clean and safe environment by following infection control standards and equipment maintenance schedules.

• Monitor and replenish clinical supplies and inventory.

• Manage patient flow by reviewing schedules and preparing patients for examinations and procedures.

• Escort patients to exam rooms and assist with mobility, transfers, specimen collection, and exam preparation.

• Collect patient histories, obtain vital signs, and perform screenings in accordance with provider guidelines.

• Communicate provider instructions and educational information to patients and families.

• Answer patient calls and provide appropriate information and education as directed.

• Perform phlebotomy, EKGs, point-of-care testing, and other approved clinical procedures.

• Assist providers during examinations and procedures.

• Accurately document patient information and clinical activities in the electronic medical record.

• Maintain compliance with OSHA, CLIA, Pennsylvania Department of Health, and other applicable regulatory standards.

• Safeguard the confidentiality of patient records and protected health information.

• Adhere to all UPMC policies, procedures, and system-wide competencies.

• Administer injectable medications and vaccines, when appropriate, under the direction and supervision of a physician.

• Perform other duties as assigned.

Medical Assistant:

• High school diploma or equivalent is required.

• Must have basic computer skills and knowledge of medical terminology, examination, diagnostic and treatment room responsibilities

Medical Assistant, Senior

• High school diploma or equivalent is required.

• Successful completion of Medical Assistant Program or equivalent hospital program (LPN/RN/EMT)

• OR successful completion of certification examination (AMT, AAMA, NAHP, NCCT, or NHA)

• OR at least 1 year of patient care experience required.

• Must be responsible and demonstrate proficiency in three practice category specific tasks.

• Must have basic computer skills and knowledge of medical terminology, examination, diagnostic and treatment room responsibilities.

Applicants will be placed in the appropriate job title and salary from the Medical Assistant Career Ladder, based on their individual experience and education.

Licensure, Certifications, and Clearances:

• Basic Life Support (BLS) OR Cardiopulmonary Resuscitation (CPR)

• Act 31 Child Abuse Reporting with renewal

• Act 33 with renewal

• Act 34 with renewal

• Act 73 FBI Clearance with renewal
