Client Services Assistant

The Salvation Army corps located in Columbia, Missouri, is looking for a full-time Client Services Assistant. This position is responsible for the overall coordination and operation of the Columbia Corps’ emergency assistance and holiday services. This involves, but is not limited to, taking applications, assessing cases for eligibility, and providing vouchers or Baby Pantry items. Position will maintain appropriate documentation for services, requests, and all other statistics as assigned. It also provides support in the office by offering assistance to visitors and others who come into the facility. It provides clerical support and office duties as assigned. it will organize, train, and manage volunteers for the Columbia Corps. Starting pay will be up to $18.00 an hour. Administrative Participate in scheduled staff meetings and team management meetings. Maintain effective communication with Corps Officers regarding all aspects of operations. Social Services Provides emergency services in Columbia to include but not limited to: I.D.’s, Clothing vouchers, and Baby Pantry as funds allow. Assists with applications for rental and utility assistance when funds are available. Provides on-site, remote, community referrals to clients seeking emergency assistance when Salvation Army funds are not available. Conducts community education awareness opportunities focused on homelessness prevention and homeless resources in a cooperative effort with Harbor House staff. Maintain client files in both SIMS and HMIS and complete monthly statistical reports. Ensure that operations of the Columbia Social Services programs comply with current approved policy and procedure of The Salvation Army, its National Social Services Standards, state and local licensing certification and regulatory authority with the Corps Officers. Ensure adherence to The Salvation Army mission in all aspects of our services. Provide emergency assistance during disaster situations for extended durations and in extreme conditions. Assist with the coordination of the Christmas Angel Tree Program, including applications, distributions of angels, collections of gifts, toy distribution, scheduling clients and volunteers, and clean up. Work with the Development Director and Corps Officers on appropriate thank-you letters to donors. Responsible to follow the social services policy and procedure manual reflective of all emergency services for Columbia Corps. Network within the community to assure clients have access to resources within the community. Fiscal Management Maintain fiscal integrity and accountability by adhering to fiscal management policies and procedures of The Salvation Army. Track and monitor fiscal activities and have all expenditures approved per policy. Work with the Corps Officer and Development Director to identify future funding opportunities by identifying and/or writing grant proposals as well as administering grant expenditures, budget and services. Provide oversight for grant compliance and reports with the Corps Officer. Data Management Ensure client files are in compliance with government entities providing funding and The Salvation Army Social Services Standards. Maintain and report statistics to the administration office and others as needed or requested. Record electronic and written client information in paper and computer records. Maintain client confidentiality. General Office Duties Maintain confidentiality, proper staff/client boundaries, and comply with Safe From Harm guidelines. Maintain a positive work atmosphere by behaving and communicating in a manner that fosters good relationships with clients, co-workers, and supervisors. This includes but is not limited to such actions as resolution of conflicts in a professional manner; courteous treatment of staff, visitors, and clients; respect for others’ property and person; and professional and appropriate communication to and about clients, co-workers, and supervisors. Answer phone calls and provide information Greet visitors and clients, offering services as appropriate. Provides connections to other members in the office to assure people receive the best experience. Office duties to include copying, phone calls, letters, thank you notes and receipts, keeping calendars, disbursing minutes, and project assistance. Provides assistance with social media and the website as requested. Other duties as assigned by supervisor. Minimum Qualifications High School Diploma or GED required. Requires excellent written and oral communication skills with an ability to work with diverse cultures. Strong leadership style and good organizational skills required. Commitment to carry out The Salvation Army’s mission is essential. Knowledge of The Salvation Army and Government, State and community resources is helpful. Must be a team player, a self-starter, able to handle several projects at the same time and perform well with minimum supervision. Demonstrate ability to think independently and exercise sound judgment. Requires a valid driver’s license, and pass TSA MVR check.
