Branch Administrator Part Time

Job Details: Job Location: Hazelwood, MO 63042 Job Shift: Day Supervisory Responsibilities This position does not have supervisory responsibilities. Duties / Responsibilities Uphold internal policies and processes regarding contract management by examining the viability of each contract and making the necessary recommendations for revision to improve efficiency and productivity metrics. Manage client contracts for landscape maintenance, enhancements, irrigation, plant health care and snow removal services. Understand components within Aspire to effectively assist in scheduling production, creating and receiving purchase orders, and allocating materials. Assist Branch Manager with producing reports necessary for evaluating Landcare, PHC, and Tech Services divisions. Assist Focal Pointe team members with preparing contracts, enhancements, reports, etc. to ensure efficiency of staff and uniformity of procedures. Assist Landcare Operations Managers with reports on services, material, time entry, etc. to ensure tasks are performed in a timely manner and billing is correct. Make scheduling calls for Tech Services and PHC departments as needed. Answer phones as needed, taking leads, directing calls and answering customer questions and concerns when department heads are in the field. Assist in purchasing items for enhancement projects, monitor yard inventory and order materials based on seasonal demand. Assist the Branch Manager with a variety of tasks to include laying out of enhancements and moving items in yard inventory. Work with Branch Manager to accurately track branch performances. Participate in and practice all safety procedures presented in weekly safety meetings. Follow Focal Pointe uniform policy to be neat and professional in appearance. The Contract Administrator will assist sales and account management with contract-related issues and work the contract through a close process. Participate in snow removal as a Crew Member or Route Manager. Off season this role dives more heavily into contract preparation and execution, snow preparation and execution, and preparing and training for the next season. The Contract Administrator will also assist multiple divisions of the company (plant healthcare, irrigation, and land care) with routing, scheduling, and contacting clients. When in season a large portion of this role will be customer service driven. Travel up to 10% of the time within the Focal Pointe territory. Other duties as assigned. Qualifications Ability to communicate with a diverse community, program participants, and the public. Strong attention to detail for communication. Excellent organizing skills. At least 2 years of experience in an administrative position. Physical Requirements Office-Based Tasks: Prolonged periods of sitting while working on a computer or reviewing documents. Frequent use of hands and fingers to type, handle paperwork, and use office equipment such as a computer, phone, and printer. Ability to lift and carry office supplies, files, and paperwork weighing up to 15-20 pounds. Occasional standing and walking within the office environment for meetings and collaboration with team members.
