The Opportunity We are seeking a hands-on Business Operations Manager to lead the essential back-office functions and administrative operations that keep our clinics running effectively. This is a working manager role: the successful candidate will supervise staff, coordinate external service providers, and personallymanagecriticalprocesses,deadlines,andreporting.Thepositionpartnerscloselywiththe Executive Director and clinical leaders to strengthen service consistency, financial discipline, and operational accountability. WhatYouWillDo Businessandclinic operations Coordinateday-to-dayadministrativeoperationsacrossdentalandeyecliniclocations,including purchasing, vendors, supplies, systems, and workflow improvements. Partnerwithclinicalleadershiptoresolveadministrativeissues,supportpatientaccess,and maintain consistent procedures across locations. Frontdesksupervisionandpatientservice Directlysupervisedesignatedfrontdeskandadministrativestaff,includingtraining,coaching, scheduling coverage, and performance follow-through. Maintainconsistentstandardsforpatientscheduling,registration,communications,andcustomer service in coordination with clinical leaders. Humanresourcesandpayrolladministration Coordinateonboarding,offboarding,personnelrecords,benefitsadministration,timekeeping,and payroll inputs with internal leaders and external providers. Trackdeadlines,resolveroutinediscrepancies,andsupportconsistentimplementationof employee policies while maintaining confidentiality. Financeandaccountingcoordination Serveastheday-to-dayoperationalliaisonwithElliottDavis,WellPartners’externalaccounting partner. Coordinate invoices, purchasing documentation, expense tracking, budget information, and materialsneededformonthlyfinancialprocesses,audits,andgrant-relatedfinancialreporting. Reportingandperformance monitoring Owntheadministrativereportingcalendarandcoordinatetimely,accurateclinicdashboards, patient volume and visit reports, grant reporting inputs, and management summaries. Trackprogressagainsttheorganizationalroadmap,actionitems,andperformancemeasures;flag gaps, trends, and deadlines for management attention. WhatYouBring Bachelor’sdegreeinbusinessadministration,healthcareadministration,nonprofitmanagement, or a related field, or equivalent relevant experience. Atleastfiveyearsofrelevantexperienceinbusinessoperations,healthcareadministration,ora comparable environment, including staff supervision. PracticalexperiencewithpayrollorHRadministration,purchasing,financialcoordination,and operational reporting. StrongExcelandMicrosoft365skills;comfortlearningandadministeringsharedworkflowsand systems such as SharePoint. Soundjudgment,discretionwithconfidentialinformation,attentiontodetail,andatrackrecord of meeting deadlines. Aservicemindsetandwillingnesstorollupyoursleeves,solveproblems,andcompletethe work—not simply delegate it. Especially Valuable Experienceinanonprofit,communityhealthclinic,orsafety-nethealthcareenvironment;familiarity with grant-funded programs and reporting; experience coordinating outsourced accounting, HR, or payroll providers.
