About the Role

We are seeking a motivated Durable Medical Equipment (DME) Specialist I or II to join our growing orthopedic team. This role supports the delivery of durable medical equipment (DME) services, inventory management, and patient care across multiple practice locations.

The DME Specialist works closely with physicians, clinical staff, patients, and vendors to ensure patients receive the appropriate equipment while maintaining accurate inventory, documentation, and operational workflows.

The level of the position (DME Specialist I or DME Specialist II) will be determined based on the selected candidate's experience, qualifications, and demonstrated competencies.

Essential Responsibilities

• Fit, measure, and dispense approved off-the-shelf DME products in accordance with provider orders and established protocols.
• Educate patients regarding the proper use, fit, and care of DME products.
• Measure patients for designated custom braces and coordinate custom brace orders, as appropriate based on experience.
• Maintain accurate inventory by receiving, stocking, organizing, and tracking DME products.
• Monitor inventory levels and communicate ordering needs to leadership.
• Enter DME documentation, product codes, and related information accurately into the EMR and other applicable systems.
• Coordinate DME needs with physicians, clinical staff, and surgical coordinators to support pre-operative and post-operative patient care.
• Respond to patient inquiries regarding DME products, orders, and services.
• Assist with authorization workflows by routing requests appropriately and communicating with patients regarding next steps.
• Maintain Point of Delivery (POD) documentation and ensure timely submission to Billing and other appropriate departments.
• Coordinate with vendors regarding product availability, order status, and deliveries.
• Refer specialized equipment, complex requests, or authorization issues to the appropriate team members or leadership.
• Maintain organized inventory areas and support efficient DME operations across assigned practice locations.
• Travel between practice locations as needed.

QualificationsRequired

• High School Diploma or equivalent.
• Excellent customer service skills with a minimum of 2 years of customer service experience.
• Knowledge of medical terminology.
• Knowledge of medical insurance guidelines and requirements.
• Ability to travel to all assigned practice locations.
• Strong organizational and multitasking abilities.
• Proficiency with Microsoft Office and familiarity with Electronic Medical Record (EMR) systems.
• Ability to work effectively in a fast-paced medical environment while managing multiple priorities.

Preferred

• Medical office experience.
• Orthopedic practice experience.
• Durable Medical Equipment (DME) experience.
• Experience with inventory management and medical supplies.
• Experience measuring and fitting patients for orthopedic braces or other DME products.

Physical Requirements

• Frequent standing, walking, bending, and movement between clinical and storage areas.
• Frequent lifting, carrying, stocking, and transporting DME products and supplies.
• Ability to lift and move up to 25 pounds.
• Frequent communication with patients, providers, and staff.
• Ability to travel between practice locations as needed.
• Flexibility to work occasional evenings or weekends when business needs require.

Work Environment

• Combination of clinical and administrative office settings.
• Moderate noise level typical of a medical office.
• Exposure to patient care environments and medical supplies.
• Frequent interaction with physicians, clinical staff, vendors, and patients.

Compensation for the role will depend on several factors, including a candidate's qualifications, skills, competencies, and experience.
