This Is More Than a Front Desk Position

Our Spa Coordinators are hospitality leaders who help orchestrate the entire day.

You’ll work closely with management and our service providers to make sure the spa is staffed, organized, prepared, and running beautifully from opening to closing.

You’ll be responsible for coordinating the daily flow of the spa — making sure the right people are in the right places, guests are taken care of, appointments are confirmed, laundry is moving, checklists are completed, and the many details behind the scenes are handled so the guest experience feels effortless.

When needed, you’ll also step into the Manager-on-Duty (MOD) role, confidently handling guest situations, supporting the team, and making decisions that keep the spa running smoothly.

What You'll Do

Create an Exceptional Guest Experience

• Be the warm, welcoming first and last impression for every guest.
• Welcome guests and introduce them to the Woodhouse experience, locker room, amenities, and services.
• Answer calls, listen to guest needs, schedule appointments, and make thoughtful service recommendations.
• Check guests in and out and process payments accurately.
• Create personalized experiences by remembering the little things — a favorite beverage, a birthday, an anniversary, or a guest’s personal preferences.
• Address guest questions and concerns with professionalism, warmth, and confidence.

Coordinate the Day

• Help organize and coordinate the entire spa operation each day .
• Make sure team members are in the appropriate positions and prepared for the day’s schedule.
• Monitor appointments and the flow of services to keep the spa running efficiently and on time.
• Coordinate appointment confirmation calls and guest communications.
• Communicate with therapists, estheticians, management, and other team members throughout the day.
• Coordinate laundry, laundry walk-backs, room readiness, and other daily operational needs .
• Keep the front desk and spa organized, polished, and ready for guests.
• Make sure Woodhouse standards and protocols are followed consistently.
• Jump in wherever needed to keep the day moving.

Be a Leader When It Matters

• Serve as Manager-on-Duty (MOD) when assigned.
• Step in to handle guest situations and service recovery when needed.
• Support team members and help resolve day-to-day operational challenges.
• Maintain a calm, professional presence even when the spa gets busy.
• Communicate important situations and updates to management.
• Help create a positive, supportive, and accountable team environment.

Open & Close the Spa

• Take responsibility for opening or closing the spa as scheduled.
• Complete all opening and closing checklists thoroughly and to Woodhouse standards.
• Ensure all daily tasks are completed before leaving.
• Make sure the spa is clean, organized, prepared, and secure.
• Properly secure the building at closing and ensure all closing procedures are completed.

Build Relationships & Drive the Business

• Encourage guests to schedule their next appointment before leaving.
• Educate guests about services, treatments, and retail products.
• Make personalized product recommendations based on guest needs.
• Support guest retention and retail initiatives.

⭐ Experience We Recommend

2+ years of experience in a spa, restaurant, hotel, hospitality, or other customer-facing environment is recommended.

We especially value candidates who have experience coordinating people, managing a busy front desk, handling guest concerns, working in a luxury hospitality environment, or serving as a shift lead, supervisor, MOD, or similar leadership role.
