This role supports participants throughout the Certified Exit Planning Advisor (CEPA) Program and helps ensure they have a smooth, organized experience from onboarding through program completion. The Fulfillment Coordinator serves as a key point of support for participants by answering questions, resolving issues, maintaining accurate records, tracking program activity, and coordinating the behind-the-scenes details that keep our programs running successfully. The ideal candidate is organized, detail-oriented, comfortable communicating with clients, and able to manage multiple priorities in a fast-paced environment. They take initiative, follow through on tasks, and know when to ask questions or elevate an issue. Key Responsibilities and Duties Support CEPA participants throughout onboarding, program participation, and post-program follow-up Respond to incoming calls, emails, and other participant questions in a timely and professional manner Troubleshoot participant issues and connect clients with the appropriate team member when needed Track participant enrollment, attendance, coursework completion, exam progress, and other program requirements Maintain complete and accurate participant records in HubSpot Track and report program information including enrollment, attendance, completion, and survey feedback Review and process continuing education credit requests for eligible members Support program logistics and administrative tasks before, during, and after CEPA programs Help participants understand and access available EPI resources, tools, and ongoing support Coordinate with EPI’s third-party logistics (3PL) partner to monitor order fulfillment, resolve shipping issues, and help ensure orders are processed accurately and on time Monitor fulfillment activity and address order discrepancies, reshipments, or other shipping-related issues as needed Follow established processes and procedures while identifying opportunities to improve the participant experience or internal workflows Collaborate with other EPI teams to resolve participant needs and ensure a consistent client experience Requirements Position Qualifications and Skills Previous customer service, client support, administrative, or similar experience required Strong written and verbal communication skills Comfortable assisting clients by phone and email Highly organized with strong attention to detail Ability to manage multiple tasks and shifting priorities while meeting deadlines Strong problem-solving skills and willingness to ask questions when needed Dependable and able to follow through on assigned responsibilities Comfortable working independently as well as collaboratively within a team Proficiency with Microsoft Office; experience with HubSpot or another CRM is preferred Ability to learn new systems, processes, and technology quickly Summary Job Type: Full-time, Hybrid Work Location: Hybrid remote in Westlake, OH 44145 Work Schedule: Monday and Tuesday in office; Wednesday, Thursday and Friday eligible for remote work. Hybrid schedule is subject to change based on business needs.
