Customer Service Representative – Billing & Collections

The ideal candidate is professional, organized, comfortable speaking with customers, and able to handle billing and collection conversations confidently while maintaining excellent customer relationships.

Key Responsibilities

Customer Service & Scheduling

• Answer incoming customer calls and emails in a professional and friendly manner.
• Schedule, reschedule, and confirm pest control services.
• Assist customers with questions regarding pest activity, treatments, service agreements, and technician visits.
• Handle customer complaints and work toward timely resolutions.
• Communicate with pest control technicians regarding customer requests and service issues.
• Follow up with customers after service when needed.
• Maintain accurate customer information and service records.

Billing & Collections

• Prepare and send invoices for pest control services.
• Review customer accounts for outstanding balances.
• Post payments accurately to customer accounts.
• Contact customers regarding past-due invoices and outstanding balances.
• Make professional collection calls and send payment reminders.
• Set up payment arrangements when authorized.
• Investigate billing disputes and work with customers to resolve discrepancies.
• Coordinate with management regarding delinquent accounts and collection issues.
• Assist with recurring billing for pest control service agreements.
• Maintain accurate accounts receivable records.

Administrative Support

• Assist with daily office operations.
• Prepare billing and collections reports for management.
• Communicate with technicians and management to resolve customer account issues.
• Perform other administrative duties as needed.

Qualifications

• 2+ years of customer service, billing, accounts receivable, or collections experience preferred.
• Strong verbal and written communication skills.
• Comfortable handling difficult customer conversations and collection calls.
• Strong attention to detail and organizational skills.
• Ability to multitask in a busy office environment.
• Professional and friendly phone manner.
• Computer proficiency and experience learning new software systems..
• Ability to work independently and as part of a team.
