Five days per week on-site

An established New York deep foundations and excavation contractor is seeking an experienced Accounts Payable Manager to take ownership of daily AP activities and support wider accounting operations.

This is a hands-on opportunity for someone who enjoys managing the details, resolving discrepancies and working closely with vendors, subcontractors and project teams. Practical QuickBooks Desktop experience is essential.

Location: This position is based at the company's Oceanside, NY office, five days per week . Please consider the daily commute before applying.

Responsibilities

• Process vendor and subcontractor invoices, including verification, project coding, approvals and payments.
• Maintain accurate accounting records in QuickBooks Desktop.
• Reconcile vendor statements and resolve invoice or payment discrepancies.
• Allocate expenses to the correct projects and accounts.
• Support accounts receivable, customer invoicing and collections.
• Assist with construction progress billing, retainage and associated documentation.
• Maintain W-9s, certificates of insurance and records supporting 1099 preparation.
• Support bank and credit card reconciliations and month-end accounting.
• Coordinate with management and project teams to keep financial information accurate and current.

Requirements

• Strong, hands-on accounts payable experience.
• Proficiency with QuickBooks Desktop, specifically, rather than QuickBooks Online alone.
• Construction or subcontractor accounting experience strongly preferred.
• Familiarity with project cost coding and vendor/subcontractor payments.
• Experience with accounts receivable and reconciliations.
• Strong organization, accuracy and communication skills.
• Ability to work independently and take ownership of daily responsibilities.
• Familiarity with AIA G702/G703 payment applications and retainage is an advantage.
