Administrative Assistant

Overview

WHO are we looking for?

CAPTRUST is seeking a part-time Administrative Assistant who will provide general office support with a variety of activities and related tasks. The hours are approximately Monday through Friday 9:30am - 3:00pm but can be adjusted to accommodate a qualified candidate. Primary responsibilities may include the following, among others:

Responsibilities

  • Execute recurring team processes and procedures to keep workflows on track
  • Support ongoing client service requests, as needed, with timely follow-up
  • Maintain client records and workflows in CRM systems and ensure compliance
  • Coordinate with advisors, internal teams, and insurance carriers
  • Manage incoming and outgoing mail to support timely distribution and handling of digital and physical office correspondence
  • Coordinate with the firm-wide Administrative Department on recurring responsibilities, monthly meetings, and location-level support for enterprise initiatives
  • Greet clients and manage incoming calls and communications as needed
  • Prepare documents and maintain electronic records
  • Manage office operations including supplies, light kitchen duties and vendor coordination
  • Assist with logistics of office events and internal initiatives
Qualifications

Minimum Qualifications:
  • Minimum of 2 years of relevant experience and/or training, or equivalent combination of education and experience
  • Excellent phone etiquette, verbal, and written communication skills
  • Proficient in MS Office (Word, Excel, Outlook, Power Point)
Desired Qualifications/Skills:
  • Maintains the highest standards of confidentiality and integrity
  • Associate's degree preferred
  • Exhibits strong professionalism and work ethic in all interactions
  • Demonstrates keen attention to detail with a positive, proactive attitude
