Role Description This is a full-time, on-site Medical Office Receptionist role based in Thousand Oaks, CA. The Medical Office Receptionist is the first point of contact for patients, greeting individuals in person and over the phone, checking them in and out, and ensuring a welcoming, organized front desk environment. Daily responsibilities include answering and directing calls, scheduling and confirming appointments, collecting and updating patient information, and verifying insurance details prior to visits. The role also includes handling patient forms, processing co-pays, coordinating with clinical staff, and managing incoming faxes, messages, and referrals. The Medical Office Receptionist supports efficient patient flow, protects patient privacy, and follows all office policies and healthcare regulations.
Qualifications
- Strong phone etiquette and professional receptionist duties, including polite, clear communication and accurate message taking.
- Proficiency in appointment scheduling, including managing calendars, confirming visits, and handling cancellations or rescheduling.
- Experience in a medical office setting, preferably dermatology or another outpatient specialty, with familiarity with medical terminology and workflows.
- Ability to perform insurance verification and collect necessary information for billing and prior authorization processes.
- High school diploma or equivalent; additional training in medical office administration is a plus.
- Comfort using electronic health record (EHR) systems, practice management software, email, and standard office equipment.
- Excellent organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
- Strong interpersonal skills and a commitment to inclusive, respectful, and confidential patient care.
